Website for coaches that turns a visit into a first session

Your story, your approach and your price, with a calendar clients book themselves and a checkout that handles the cancellation rules properly.
Clients buy a conversation that has not happened yet.
A website for coaches sells something nobody can hold: a conversation, a programme, a change. So clients decide on feel. They want to see your face, read how you work, know the price, and then book a first call in two taps without a thread of emails.
Two things many coaching sites get wrong sit underneath: the cancellation rights of a private client who buys a programme online, and the real cost of booking and payment tools. Below we cover both, with a worked example, plus where to start. We work from Ghent, Belgium, in English.
Selling a programme online to a private client
When a consumer buys your programme through your site, it is a distance contract. In the EU and the UK they can cancel within 14 days without giving a reason, counted from the day the contract is made. That right ends only when the service has been fully performed, after the client expressly asked you to start within those 14 days and acknowledged they would lose the right once you had. If you start early at their request and they cancel anyway, they pay for what you already delivered.
| Step in your checkout | What the client sees | Why |
|---|---|---|
| At booking | a box: I ask you to start within the 14-day period | without the request, a client who cancels owes nothing for sessions already given |
| Same box | a line that the right ends once the programme is fully delivered | otherwise the right does not end |
| Confirmation email | how cancellation works and how to use it | the information has to reach them in a durable form |
| Your terms | what is charged if they cancel after starting | they pay for what was delivered |
Coach companies rather than people? Then these consumer rules do not apply, and your site looks more like a small business website with a page per programme.
Doubt, a first meeting, a first session
- FirstRecognitionThe client reads their own question on your site, in their words: stuck at work, a team that clashes.
- ThenYour approach and your faceHow a programme runs, how long, and a short video in which you speak.
- The thresholdA no-strings first meetingA free or short first session they pick in your calendar themselves.
- The choiceA programme and its priceWhat a session or a package costs, what is included, and whether they pay a deposit.
- AfterReminder and follow-upA reminder the day before, and after the programme a request for a review.
A booking tool or a booking of your own
| Question | A tool such as Calendly | Booking built into your site |
|---|---|---|
| Price | free without payments; Standard 10 dollars per user per month, billed yearly | built once, then no subscription |
| Taking payment | from Standard, through Stripe or PayPal | your way: deposit, package or per session |
| Look | the tool's style with your colour | fully your own brand |
| Cancellation rights in the flow | with its own text fields | as a checkbox and in the confirmation email |
| Fits | a coach who wants to start this week | programmes, packages or several coaches |
For most coaches a connected booking tool is a fine start; a booking of your own pays off with programmes, packages or a team. The build behind a booking of your own is in booking system for your website.
A page that sells one programme
Most coaching sites list everything on one services page. A page per programme sells better: who it is for, what happens in each session, how long it takes, what it costs, and one button to book the first call. Think of it as a landing page that also ranks. Put the programme's price on that page, the cancellation line next to the button, and a short video of you explaining who it is not for. That last part builds more trust than any testimonial.
Your privacy notice belongs on the same site, because the booking collects names and email addresses; see do I need a privacy policy. No domain of your own yet? Pick one with your name or your trade, as in choose a domain name. What a site costs in year one and after is in website cost.
Where to start
- Choose a one-pager with a booking link ifyou are starting out or work mostly by referral. Story, offer, price and a button to your calendar are enough; see web design for freelancers.
- Choose a page per kind of coaching ifyou want to be found. Career coaching, burnout recovery and leadership are different searches, each with its own page.
- Choose your own booking with payment ifyou sell programmes or packages to private clients and want the cancellation rules done right.
- Choose video ifclients only trust you after a first call. A minute on camera takes that step away sooner; see corporate video.
Watch out for these
Being found
People type their question: career coach, burnout coach, leadership coaching, often with their town. A page per kind of coaching, titled in the client's words, brings those searches in; working from a fixed office, add local SEO. A Google Business Profile with reviews puts you on the map; how to ask for them is in get more Google reviews. Short videos answering one question reach people who are not searching yet, and if you would rather not post them yourself, see social media management; plan them with the social media plan template, and draft posts in your own voice with AI for marketing.
Before your next discovery call
- Write down the three questions clients most often come with, in their words, and use them as page titles.
- Record a one-minute video answering one of them.
- Put your price per session and per programme on the site.
- Check your checkout: is there a box for starting within 14 days, and does the confirmation email explain cancellation?
Can I keep the booking tool I use now?
Usually, yes. We look at the tool you use and either link it to your site or replace it with a booking of your own where that works better.
Should clients pay when they book?
Your choice. A deposit on a programme cuts no-shows; a free first call asks for nothing. Selling to private clients, say in the flow how cancellation works.
How long does a build take?
A one-pager with a booking link takes a few weeks, most of it waiting for your texts and photos. With your own booking and payment, plan a few weeks more, because the checkout and the confirmation emails need testing with real bookings.
Do I need a blog?
Not to start. If you want to be found on clients' questions, a handful of articles on searches people really make is the quickest route.
Website design
How VBS builds a coaching site
We build your site around how you work: your story and offer, a page per kind of coaching, and a calendar where clients pick a first call themselves. Selling programmes online? We build payment and the 14-day rule into the flow. Booking forms with free time slots we already build for client sites, and we come with a camera for the video. A one-pager starts at 1,500 euros; with your own booking and payment, a blog or several languages it is 5,000 euros or more, at a fixed price per part.
