AI chatbot development
AI chatbot development that answers the way you do

AI chatbot development for your website: answers only from your information, also at 22:40, and sends requests to your inbox.
Website visitors ask at 22:40
AI chatbot development pays off as soon as the same questions come back every week: do you cover my area, roughly what does it cost, when can you start, do you work in English.
An AI chatbot for your website answers those questions straight away, in your words, from the information you give it: your services, service area, price list, terms and frequently asked questions. When a visitor wants a quote or an appointment, the bot asks for what you need and puts the request, with a summary, into your inbox or CRM. When it does not know, it says so and asks for a phone number.
This page is about the bot that talks to your visitors. For the emails and tickets your own team handles, read about AI customer service; for an assistant that helps your staff internally, read about a custom ChatGPT for your business. Here you find what a website chatbot does, what it costs and returns, which EU rules apply and how a project runs with a team in Ghent, Belgium, working in English.
Contact forms and FAQ pages leave questions waiting
Most small-business websites already hold the answer to what visitors ask. It just sits where nobody finds it, or it arrives the next working day. This is what we see on almost every site we review:
- The question comes after hoursA visitor looking for a price at 22:40 fills in a form or leaves. Tomorrow they call the competitor who replied at once.
- Nobody reads the FAQ pageTwenty questions in a list, and the visitor needs the twenty-first. A chatbot searches those twenty answers plus your service pages and price list.
- Requests arrive half-complete"Please quote for my bathroom" with no address, size or timing. Three emails follow before you can price anything.
- An off-the-shelf bot guessesA generic bot that does not know what you do and do not offer promises a service you never sold, or invents a price.
- Nobody says it is a botSince 2 August 2026, Article 50 of the EU AI Act requires that people know they are talking to AI. A bot with a first name and a stock photo does not meet that bar. What the rule asks for is on EU AI Act transparency obligations.
A good bot fixes all five at once. It answers at any hour, only from what is true, and hands over a request you can answer straight away. How such a site looks with the bot on it, see website design.
A visitor's question through your own sources
The question, at 22:40
Do you also work in Antwerp, and what does a site visit cost?
Searches only your information
- Frequently asked questions
- Service area
- Price list
- Terms
The answer
Yes, Antwerp is in our service area. We schedule a site visit within the week; the price is on our rates page.
Used: service area, price list
An example of what we can build. When the bot does not know, it says so and asks for a phone number.
Chatbot tasks by type of question
A website chatbot does not do one thing but a handful. For each type of question: what happens today, what the bot does and what you gain.
| Type of question | Today | With an AI chatbot | What you gain |
|---|---|---|---|
| Service area and opening hours | The visitor calls, or searches and gives up | An instant answer from your area and hours | No phone call for a yes or no |
| Rough price | "Contact us for a price" | Your from-price and what drives it, from your own price list | Visitors who know where they stand |
| Quote or appointment request | A form without the details you need | The bot asks for address, size, timing and budget and puts it all in your inbox or CRM | You call back with a price, not with questions |
| An existing client with a question | Lands in the same inbox as new leads | The bot recognises it and routes it to the right colleague | Existing clients do not queue behind new ones |
| Complaint or something urgent | Waits until someone opens the email | No attempt to answer: straight to a person, with a call-back request | Nobody gets a bot at a bad moment |
| A question in French, German or Dutch | Waits for the colleague who speaks it | An answer in the visitor's language, from the same sources | One site that answers in several languages |
The bot belongs to your website, not your inbox. What happens next with your team's emails and tickets is the job of AI customer service. If the bot should also act, such as booking an appointment or drafting a quote, it becomes an agent: see AI agent development and the AI quote generator. If your team would rather have an assistant on internal documents, see custom ChatGPT for your business. The wider offer is on AI for business, and automation around it on AI automation.
Knowledge checked before the bot speaks
A chatbot is only as good as what it may read. So every project starts with your own information: what is still true, what is outdated, what appears twice. A page untouched since 2023, or a service still online that you no longer offer, comes out before the bot repeats it.
For AMOSI, our own AI software, we built exactly that check: next to every fact about a company it showed where the fact came from and flagged anything doubtful. We review your chatbot's knowledge the same way, together with you.
- Every answer traceable to a part of your site
- Outdated pages removed before launch
- You decide what the bot may say

Chatbot costs and savings: a worked example
Take a renovation company with a busy site and 400 chat conversations a month. The figures are assumptions; run them again with your own site and your own hourly cost.
| Item | Per month | Per year |
|---|---|---|
| 240 questions the bot answers itself, otherwise 6 minutes on the phone or by email | 24 hours | 288 hours |
| 60 requests that arrive complete, 10 minutes less back and forth each | 10 hours | 120 hours |
| Time saved at 45 euros an hour | 1,530 euros | 18,360 euros |
| Model cost on Claude Sonnet 5.5, 400 conversations of five questions | 17 dollars | 204 dollars, about 182 euros |
| Follow-up: reading conversations and updating knowledge, 2 hours a month | 90 euros | 1,080 euros |
| What remains | about 17,100 euros |
The sum: 34 hours a month times twelve is 408 hours, times 45 euros is 18,360 euros. Model cost and follow-up come off that. The other 100 conversations a month go to a person and save no time in this example.
The model cost: a ten-message conversation with 3,000 input tokens per question and 250 per answer costs 0.04 dollars on Claude Sonnet 5.5 (2 dollars per million tokens in, 10 out) and 0.002 dollars on Claude Haiku 5.5 (0.10 and 0.50). On Haiku the model bill in this example drops to 85 cents a month. Run your own volume in the AI cost calculator; which model suits which work is in ChatGPT vs Claude.
What does that say about the build? In this example a custom AI chatbot may cost about 17,000 euros to pay back in one year, and twice that to pay back in two. A request that reaches you at 22:40 instead of your competitor is not even counted: what an extra client is worth, you know better than we do.
Custom AI chatbot or an off-the-shelf tool
There are good chatbot tools with a monthly price. Three well-known ones, in dollars, before VAT:
| Route | Price | What you get | Watch out for |
|---|---|---|---|
| Chatbase | 40 or 150 dollars a month, 32 or 120 on annual billing | One AI agent with 700 or 4,000 message credits a month | Removing "Powered by Chatbase" costs 1,188 dollars a year |
| Tidio with Lyro | From 32.50 dollars a month | 50 AI conversations a month, more in steps up to 1,000 | Above 1,000 conversations, by quote |
| Intercom with Fin | 0.99 dollars per resolved question | The AI agent on top of Intercom's help desk | Plus seats for your team, from 19 to 132 dollars a month |
| Custom built | One-off build, the model per use | Your own knowledge, your branding, links to calendar and CRM, storage in the EU | You need a developer for new features |
In the worked example above, Intercom Fin would cost 237.60 dollars a month for 240 resolved questions, or 2,851 dollars a year before seats. Chatbase Standard costs 1,440 dollars a year on annual billing. The model in a custom build costs 204 dollars a year.
Choose a tool if you mainly want to catch FAQ questions, need few integrations and do not mind the vendor's brand in your chat window.
Choose a custom build if the bot has to talk to your calendar, quoting tool or CRM, has to work in your own branding and languages, handles enough volume that a price per resolution starts to weigh, or if you want to decide where conversations are stored. The broader trade-off is on build vs buy software.
Chatbot rules in the EU since 2 August 2026
A chatbot on a website that serves people in the EU falls under two European rules every buyer should know. They apply wherever your company sits, as long as your visitors are in the EU.
The AI Act, Article 50. Since 2 August 2026, an AI system that talks directly to people must be built so they know they are dealing with AI, unless that is already obvious to an ordinary visitor. The notice must be clear and distinguishable, given at the latest at the first interaction, and accessible to people with disabilities. In practice: one line at the top of the chat window, in the first message. Article 4 has also required since 2 February 2025 that staff who use AI understand its limits. Which duties your use case carries, see the EU AI Act checker; whether you need a policy, see do I need an AI policy?
The GDPR. When the bot asks for a name, address or phone number, you process personal data. A vendor doing that on your behalf is a processor, and Article 28 requires a contract that sets out what is processed, for how long and why. Mention the chatbot in your privacy policy too. We keep conversations in an EU environment and let the bot ask only what the request needs. Anthropic's models can run through Amazon Bedrock with processing kept inside the EU; there, the model's maker does not see your prompts and answers.
One practical note: a chatbot that also answers on WhatsApp has paid, since 1 October 2026, for service messages above 1,000 per phone number per month. See WhatsApp Business pricing.
Chatbot project in four phases
- Week 1: the questions on the tableWe collect what visitors ask today, from your emails, contact form and phone. You decide which questions the bot may answer and which always come to you.
- Weeks 2 and 3: your knowledge in orderSite, FAQ, prices, service area and terms in one place. Anything outdated or duplicated is cleaned up. You review and approve.
- Weeks 3 to 5: a test botYou talk to your own bot on a test page. We run a hundred real questions, odd ones included, and measure which model answers well enough.
- Week 6: live, plus thirty days of follow-upOn your site, with the AI notice, connected to your inbox or CRM. We read along for the first month and adjust where it hesitates.
The parts of a good bot, already built
A chatbot on a client site is not in our portfolio yet; the parts are. For AMOSI, our own AI software that went live in July 2026, we built the knowledge layer shown above: every fact about a company with the page it came from, and a question back where it is unsure. That layer is what keeps a chatbot to your information. For Business Centrum we put every figure on the site in a register with its official source, plus an llms.txt so AI assistants find the right numbers; how that helps you show up in AI answers is on found in ChatGPT.
What you get from us:
- A bot that knows your own content, reviewed by you before it goes live.
- The AI notice and a privacy text from the first message.
- Requests that arrive complete, in your inbox or CRM.
- A monthly look at the conversations: what it could not answer and what we add.
We are a team in Ghent and handle the whole route in English, from the first call to the upkeep; why a team in Belgium can be the right call is on nearshore software development. Send us the ten questions you get most. Book a call and we will show how your bot would answer them.
What business owners ask us about chatbots
What does an AI chatbot cost per month?
Little for the model itself: in the worked example above, 17 dollars a month on Claude Sonnet 5.5 and under one dollar on Haiku. Hosting and time to follow up on conversations come on top. The build is a one-off and depends on your content and integrations.
Will a chatbot make up answers?
A bot allowed to answer only from your sources says it does not know when the answer is not there, and asks for a phone number. We test that with a hundred tricky questions before it goes live.
Does the chatbot have to say it is AI?
Yes, for visitors in the EU. Since 2 August 2026, Article 50 of the AI Act requires that people know they are talking to AI, at the latest at the first interaction, unless it is already obvious. We put that notice at the top of every conversation.
Can you build for a company outside Belgium?
Yes. We work in English by video call and build in your language; the bot answers in whatever language your visitors write in. Most of our process runs remotely, so distance does not slow it down.
How long until the bot is live?
Count on five to six weeks for a first version: a week for the questions, two for your content, two for testing and one to go live. The better your content is already written down, the faster it goes.
AI for business
How VBS helps you with this
We build AI into your own work: it drafts emails, reads documents and answers questions, and you stay the one who decides.
- First a task that costs time, then a working prototype
- On your own documents and your own data
- An AI policy your team understands
How we approach it is on our page about AI for business.
