Direct bookings
Bed and breakfast booking software that stays in sync with Airbnb and Booking.com
Guests book on your own site, your calendar matches the platforms, and the commission stays with you.

One room, three calendars
Bed and breakfast booking software is a calendar and a booking form on your own website that stay in sync with Airbnb and Booking.com, through iCal or a channel manager, so a guest can book direct without the same night selling twice.
Nearly every guest house starts on the platforms, and rightly so: that is where travellers from abroad find you. But a returning guest, or one who found you through a friend or on Google, does not need to pass through Airbnb. Every platform booking carries a fee, including on the guest you brought in yourself.
This page covers how three calendars keep each other up to date and where it goes wrong, which of three setups fits the number of rooms you let, what direct bookings save over a year, and what the new EU rules on short-term rentals mean for your listing.
Three setups and when each fits
There are three ways to keep your own site and the platforms aligned. The right one depends on how many rooms you let and how much a double booking would hurt.
| Setup | How it works | Fits | Watch for |
|---|---|---|---|
| iCal calendar on your site | Your site reads the iCal links of Airbnb and Booking.com and publishes its own link they read | A holiday home or B&B with one to three rooms | iCal is not live; prices and minimum stays do not travel with it |
| Channel manager | A service that passes availability and prices to the platforms in one go through their APIs | From a handful of rooms, or prices that change by season | A monthly fee and a booking engine you embed on your site |
| Custom booking module | Your own calendar, prices and rules, linked to the platforms by iCal or API | A guest house with its own rules: packages, seasonal minimum stays, request first | A one-off build; the link needs upkeep when a platform changes |
For most B&Bs with one or two rooms an iCal calendar with a request form is enough: the guest asks, you confirm, and the double-booking window no longer matters. If you want instant booking with payment, a channel manager or a custom module fits better. How booking systems work for other businesses is on booking system for your website, and how integrations break and what they cost on API integration services.
Three calendars keeping each other current
Airbnb
Publishes an iCal link, reads Booking.com and your site
Your own site
Reads Airbnb and Booking.com, shows free dates, takes requests
Booking.com
Publishes an iCal link, reads Airbnb and your site
iCal, fetched at the pace of whoever reads it
- 14:02A guest books 12 to 14 July on Airbnb
- 14:02 until the next fetchBooking.com and your site still show those nights as free
- After your site fetchesYour own calendar blocks 12 to 14 JulyClosed
- After Booking.com fetchesBooking.com blocks the same nights; the window is closedClosed
Example with made-up dates. How long the window stays open is up to each platform; a channel manager or an API closes it in minutes.
How it runs at No.4 Lange Ast
No.4 Lange Ast is a village house for eight near Ghent, listed on Airbnb and Booking.com. The owner wanted guests to see on his own site when the house is free, without double bookings and without a new website.
We built a WordPress plugin on his existing hosting. It reads the iCal calendars of Airbnb and Booking.com, shows the free dates in the guest's language (Dutch, English, French or German) and sends a booking request to the owner. A booking that comes in direct carries no platform fee.
A second version, where the owner approves a request from his inbox and the calendar syncs in three directions, is built and waiting to be rolled out. Why we stayed inside WordPress is on WordPress website development.

What direct bookings save in a year
Airbnb is moving all home hosts to a single fee paid by the host, for most hosts 15.5 percent. Booking.com charges the commission in your contract; many hosts sit around 15 percent, and your extranet shows your own rate. Take a guest house with 24,000 euro of revenue a year, half through each platform.
| Share booked direct | Revenue through platforms | Fees a year | Kept |
|---|---|---|---|
| 0 percent | 24,000 euro | 3,660 euro | 0 euro |
| 10 percent | 21,600 euro | 3,294 euro | 366 euro |
| 25 percent | 18,000 euro | 2,745 euro | 915 euro |
| 50 percent | 12,000 euro | 1,830 euro | 1,830 euro |
Take off what your own payment provider charges per booking. A website with us starts from 1,500 euro, so a calendar and request form that win a quarter of bookings direct pay back within two years. How many guests book direct depends mostly on whether they find you: a site of your own, a Google Business Profile with reviews, and an email to last year's guests do more than the calendar itself. The case for your own site is set out on direct booking website.

The EU rules behind your listing
Since 20 May 2026 an EU regulation on short-term rentals, Regulation (EU) 2024/1028, applies across the Union. It does not create a licence of its own. Where your country, region or city runs a registration scheme, your unit needs a registration number, platforms must ask for it and may not publish a listing without it, and they share booking data with the authorities.
What that means for your own site:
- Show the same registration number on your site as on the platforms, where your area has a scheme.
- Check the local rules for fire safety, insurance and tourist tax with your council or regional tourism body; they differ by country and city, and the EU rule leaves them in place.
- Keep guest data lean. You store names, emails and dates, so a privacy notice is due; ask for no more than the stay needs.
- Show your business details in the footer, as any company selling online in the EU must; see company number on your website, and do I need a cookie banner once you measure ads.
In Belgium, where we are based, that means registration with the regional tourism body, a fire safety certificate and fire and liability insurance; our Dutch page covers it. Elsewhere, confirm the rules with your own authority before you take a direct booking.
Questions guest house owners ask
What is the best booking system for a small B&B?
For one to three rooms, a calendar on your own site that reads the iCal of Airbnb and Booking.com, with a request form, is usually enough and costs nothing a month. From a handful of rooms, or with prices that change weekly, a channel manager earns its fee.
Can guests pay on my own site?
Yes, through a payment provider such as Stripe or Mollie, with instant confirmation. With instant booking the iCal window matters more; that is where a channel manager or an API link pays off.
Will direct bookings hurt my ranking on Airbnb?
Your calendar blocks the dates on the platforms the same way a platform booking does. What platforms weigh is your response rate, reviews and cancellations on their own bookings.
Do I need a new website for this?
Not always. At No.4 Lange Ast the calendar runs as a plugin on the existing WordPress site. If your site is built in a closed builder, a booking engine you embed may be the only route.
Guests find you first, then they book
A calendar alone brings no guests. A direct booking starts with a search, a review or a previous stay. So booking software belongs on a site that ranks for the right searches, in your guests' languages (multilingual website development), with photos that show what you offer.
For Villa Lidia, a villa in Umbria, we built a site in two languages with an availability calendar, a booking form and a small admin panel. For guests who search your name and area, more Google reviews do more than an ad, a review link makes asking for them easy, and if your breakfast room is also a restaurant, restaurant website covers the rest. To be found in your own region, read local SEO. A booking module is a small web application on your site, and we build it as one.
