AI for real estate agents: a new-build house in Flanders, built by SN Group, for whom VBS built the website and a renovation obligation check

AI for real estate

AI for real estate agents, fed by your own files

Listings, legal details and leads prepared by AI. The agent approves and sells.

A slow reply costs an agency its buyer

AI for real estate agents takes over the work between the instruction and the viewing: the listing text in three languages, the legally required details, the lead that arrives at ten at night, the back and forth to book a viewing.

That is where an agency loses hours, and sometimes a buyer. Someone who enquires on a portal and hears back the next afternoon has emailed three other agencies in the meantime. And in many countries a listing without the right energy or planning details is a fine waiting to happen.

An AI layer in your agency drafts each listing from your photos, features and notes, pulls the required details from the certificates themselves, answers every lead within the hour with the right questions and proposes a viewing that fits your diary.

The agent reads, chooses and sells. The AI never writes a feature or a legal detail that is not in your file.

Listing rules in Flanders, as a worked case

A listing is not free text. Every market has its own rules on what an advert must say, and those details come from certificates, not from a language model. Flanders, the Dutch-speaking region of Belgium where we are based, asks for a lot, so we use it as the example of how deep a system has to go.

DetailWhat the listing must containWhen and penalty
Energy performance certificate (EPC)The energy score in kWh/m² a year or the energy label, plus the full address or the unique code of the EPCIn every listing. Fine of 500 to 5,000 euros for the owner, 750 to 5,000 euros for the agent
Renovation obligationFor label E or worse: a statement that a renovation obligation appliesThe buyer must reach at least label D within six years of the deed
Planning informationWhether there is a planning permit, the current zoning, enforcement measures or a pending procedure, a right of pre-emption, a subdivision permit, a flood-sensitive open-space areaOnline always written out in full
Flood riskThe P-score, where relevant the G-score, and whether the plot lies in a flood area or riverbank zoneSince 1 January 2023, online as symbols plus full text
Asbestos certificateRequired when selling a building from before 2001, since 23 November 2022Shared at the sales agreement: date, unique code and conclusion
Who advertisesOn the agent's documents and website: the licence number, the company and its registration number, the insurer and policy number, and now the client accountBelgian code of conduct for estate agents, in force since 1 October 2026

Other markets have their own version. In England, National Trading Standards guidance from 2022 asked for the price, the council tax band and the tenure in every listing, and the government's roadmap of June 2026 plans new guidance on property listings. Whatever your market, the principle is the same: we never let a model invent a feature or a legal detail. They come from your file, and the AI only puts them in place. The system underneath, for properties and applicants, is on real estate CRM software.

What AI does per process, and where the agent decides

This is what AI does reliably in an estate agency today, and where the agent keeps deciding.

ProcessTodayWith AI in your agencyWhat you gain
Listing textTyping a text per property, then again in a second and third languageA first draft from photos, features and your notes, in three languages and in your agency's voiceA property online sooner, equally polished in every language
Legally required detailsRetyped from the energy certificate, planning extract and flood reportRead from the certificates themselves and added as a fixed block to every listing, checked against the fileNo listing without its energy or flood details
Portal leadsAnswered in the evening or the next dayA reply within the hour with the questions you need: budget, financing, timingYou are the first agency to answer
ViewingsCalling and emailing until a slot worksThe buyer picks from your free slots; confirmation and reminder go out on their ownFewer missed appointments
Matching buyersA new property, and your memoryEach new property is set against the search profiles you already holdA buyer you knew hears about it first
Anti-money-laundering checksCollecting documents and judging the riskDocuments read and the file prepared; the agent assesses and decidesA complete file, kept for the period the law asks
Sales fileChasing certificates from seller and notaryPer property a list of what is in and what is missingNo signing that waits for a certificate

A chatbot on your site that answers questions about a property from its fact sheet is an assistant we build as part of AI automation, working from your listings. Leads, buyers and search profiles belong together in custom software or the CRM you already run; the difference is explained in CRM vs ERP.

A check we already built: the renovation obligation

For SN Group, a construction company in Ghent, we built a renovation obligation check in Dutch and English. Someone who bought a home with label E or F enters the date of the deed, the type of home and the label, and sees the deadline, the months left and a plan that counts back from that date.

It is the same rule a Flemish listing has to state. An assistant in your agency can run that calculation per property from the energy certificate and the deed, and show a buyer up front what lies ahead, whatever the rule is in your market.

The renovation obligation check on the SN Group website: a terraced house with label E, bought on 12 March 2026, must reach label D by 12 March 2032

An agency of six people, worked out

Take an agency with four agents and two people in the back office, 80 new properties a year, 1,200 leads from portals and the website, and 600 viewings. The figures are assumptions; run them again with your own agency.

Task per yearWithout AIWith AI and an agent who checks
Listing texts in three languages, 80 properties3 hours each: 240 hours45 minutes of review: 60 hours
Legal details and file, 80 properties2 hours each: 160 hours30 minutes: 40 hours
Answering and qualifying leads, 1,20010 minutes each: 200 hours3 minutes: 60 hours
Booking viewings, 6008 minutes each: 80 hours2 minutes: 20 hours
Total680 hours180 hours

That is 500 hours a year, worth 25,000 euros at an assumed staff cost of 50 euros an hour. What a faster reply brings in matters more. In the first half of 2026 the median price of a terraced or semi-detached house in Belgium was 285,000 euros. At an assumed fee of 3 percent, one sale you would otherwise have lost to a faster agency is worth 8,550 euros. One extra sale a year plus the hours: 33,550 euros.

And the AI itself? A listing in three languages takes a model, by our assumption, about 35,000 input tokens including photos and 4,500 output tokens. With Claude Sonnet 5.5, at 2 dollars per million input tokens and 10 dollars per million output tokens, that is about 0.12 dollars per property, or 10 dollars for 80 properties. Answering a lead with a fast model such as Claude Haiku 5.5, at 0.10 and 0.50 dollars, costs less than a cent. Run your own numbers in the AI cost calculator, or compare models in ChatGPT vs Claude.

So what may it cost? In this example an investment of up to 33,000 euros pays back within a year, one of up to 67,000 euros within two. A small agency starts with one use, the listings or the leads, and gains as much in relative terms. Want more sellers and buyers first? The rules for AI in an agency: the AI Act, the GDPR and a new code

Belgium gave its estate agents a new code of conduct on 1 October 2026, approved by royal decree of 20 July 2026, and it has its own part on AI. Together with EU law it shows where the bar is heading for agencies elsewhere too.

RuleWhat it asksHow we build for it
Belgian code of conduct for estate agents, articles 43 to 45The agent assesses AI output critically, understands the system well enough to control it, is open about using AI where the law requires, enters no personal data into an open AI system and does not use AI to misleadA closed environment, an agent who approves every suggestion, and a record of who approved what
EU AI Act, Article 4, since 2 February 2025Anyone working with AI knows its limitsShort training and an AI policy for your agency
EU AI Act, Article 50, since 2 August 2026A chatbot says it is AI. An image that looks real but was made or altered with AI, including of a place or object, is disclosed as AIThe bot introduces itself as an assistant; virtually staged photos carry a label

Anti-money-laundering law, BelgiumAgents run a risk assessment and customer due diligence, report suspicions to the financial intelligence unit and keep records for ten years; fines go up to 1,250,000 eurosThe AI prepares the file, the agent assesses and reports

Which obligations your use case carries, you can see with the EU AI Act checker. Whether you need an AI policy is answered in do I need an AI policy? What changes for AI images on 2 December 2026 is in AI-generated content labelling, and the chatbot rules in EU AI Act transparency obligations.

Ten weeks to an assistant wired into your software

  1. Weeks 1 and 2Call and process reviewWe follow one property from instruction to sale over video calls and measure where your hours go. You get a proposal with what comes first and what it returns.
  2. Weeks 3 to 6A trial on ten propertiesListings and legal details for ten real properties, next to what you wrote yourself, in your languages. You see where the AI is good and where it hesitates.
  3. Weeks 7 to 10Connecting your softwareLeads from your mailbox and portals, your diary, your CRM or agency software. Everything in your own environment.
  4. After thatRolling out use by useFirst the listings, then the leads, then viewings and the file. We measure each step, so you know what it brings.

What estate agents ask us about AI

Can an estate agent use AI for listings?

Yes. Even Belgium's new code of conduct for estate agents, with its own part on AI, does not forbid it. It asks you to assess the output, keep personal data out of open AI systems and mislead no one. An assistant in a closed environment, with an agent who approves every text, fits that.

Does AI not write generic descriptions?

Not when it gets your own texts, your tone and the real features of the property. Generic text comes from a model that knows nothing about your agency, and that is not where we start.

No. Energy, planning and flood details come from the certificates and your file. The AI reads them and puts them in place; it invents nothing.

Do I have to label a virtually staged photo?

In the EU, if the picture looks real but was made or altered with AI, yes: since 2 August 2026 the AI Act asks you to disclose it. A plain colour or light correction does not count.

Can you work with an agency outside Belgium?

Yes. Calls, specifications and the system itself are in English, we read your market's listing rules with you, and the texts come out in the languages your buyers speak. Between them, the client sites we built run in Dutch, French, English, Turkish and German.

Is this for a small agency?

Yes. An agency with two agents has nobody who only writes listings or follows up leads, so it gains the most in relative terms. We start with one use and add more once it works.

AI for business

What VBS builds for your agency

We do not have an estate agency as a client yet, and we would rather say so up front. What we did build sits close. For SN Group we made the renovation obligation check above and three other checks on a register of 761 facts, each with its official source. For AMOSI, our own marketing software that went live in July 2026, we built texts in a company's own voice that keep the source of every fact. That is exactly what a listing needs: nothing that is not in your file.

For your agency:

  • We start with ten real properties, not a demo. You see what AI makes of your own fact sheets and certificates, in your languages.
  • Your software stays: we build next to your agency software and connect to it.
  • The agent approves everything, and the system records who approved what.
  • Data stays in the EU, under the GDPR, never used for training.

The wider approach is on AI for business. Show us ten properties from your agency: book a call.

Online sooner, first to the buyer?

Show us ten properties from your agency. We will show what AI makes of them, and what it is worth to you per year.

Optional, if you prefer a call.

What do you want to achieve, and what is already there?

We only use your details to reply to you.
