AI in construction

AI for construction that takes over the paperwork

AI for construction starts with the enquiry: the English projects page on sngroupbv.be, the site VBS built for SN Group

AI for construction drafts your site reports, quotes and replies to enquiries. You read, adjust and sign.

Contractors lose their evenings to paperwork

AI in construction is not about robots on the scaffolding. It is about the hours after the working day: the report for the client, the quote after the site visit, the extra work that still has to reach the invoice, and the email that has waited three days.

That writing happens at the kitchen table at night, or it does not happen. Then the extra work is nowhere on paper and the client calls the site manager, annoyed.

AI takes over the first draft. The site manager records a memo in the van and the system turns it into a report. After a site visit, a quote is ready from your own price list. You read it, change what needs changing and send it. The decision and the price stay with you.

Construction paperwork, and the rules behind it

Belgian building rules are a good example of how much paperwork a site creates, and of how far we go into a sector before we build. If you build in Belgium, these are the rules we see most often in a job file.

Rule (Belgium)What it asksWhere AI or software helps
Declaration of works (art. 30bis)From 30,000 euros excl. VAT, or 5,000 euros with a subcontractor; before work startsData from the quote and plan, ready to file
6 percent VAT on renovationHome older than ten years, private use, end user; conditions on the invoiceA rate per invoice line, with the wording
Demolition and rebuild at 6 percentPermanent since 1 July 2025: up to 200 m2 for an owner who moves in, 175 m2 on saleA checklist at the enquiry
EPB declaration (Flanders)12 months after first use or end of works, at most 6 years after the permitA job file with what the assessor needs
Renovation duty (Flanders)Label E or F bought since 2023: label D within 6 yearsEnquiries from buyers who know their label
Site attendance registrationSites from 500,000 euros excl. VAT; from 1 April 2027 on arrival and departureThe plan next to who registered

Elsewhere the rules differ, the logic does not: AI does not replace your accountant or assessor, it puts the data they need in the file. If you invoice in Belgium, read e-invoicing in Belgium as well: Peppol has been mandatory between Belgian businesses since 1 January 2026. For plumbers and electricians the same voice notes become job reports, see AI for plumbers and electricians.

Site reports from ninety seconds of talking

Voice memo, 16:42, 1 min 34

“Right, the screed is in, kitchen and living room. Bathroom pipes are done. And the client asked for one more socket in the storage room...”

  • Done todayScreed poured in kitchen and living room, bathroom pipework finished.
  • TomorrowDrying. Tiler confirmed for Thursday.
  • Extra workExtra socket in the storage room. Needs the client's approval.
  • PhotosSix photos filed under the right room.

An example of what we can build. The site manager reads the report before it goes to the client.

Site managers win back their evenings, process by process

Where the work is reading and writing, a language model saves time. Where it is a fixed rule, ordinary software is enough. The table shows both.

We worked out the quote on its own page, the AI quote generator. An assistant that searches your own specifications and data sheets is a custom ChatGPT for business. An assistant that takes steps itself, such as emailing the client or moving the plan, is an AI agent. Looking for planning or a job file without AI first? See construction scheduling software and software for construction companies. More enquiries is work for a website for contractors with a calculator; the wider offer is on AI for business and AI automation.

Homeowners who calculate first ask better questions

On the site of SN Group, a builder in Ghent, we built an EPC calculator. The visitor picks the year of construction, insulation, heating, glazing, ventilation and the works he is considering, and sees his likely energy label. Next to it sit a cost calculator in steps and checks for grants, renovation duty, permits and VAT.

What the visitor enters comes with the enquiry. That is the easiest place to start with AI: an assistant reads the form, files the data and asks the questions that are still open.

  • Year of construction, insulation and heating in the enquiry
  • The works the client is considering, already ticked
  • A file before the site visit, not after

A contractor with three crews, worked out

What does AI save a construction firm? A worked example with assumed figures: three crews, two site managers and an owner who writes the quotes. We count 44 working weeks, after the builders' holiday and public holidays, and a cost of 55 euros an hour for the people doing this work now. Put in your own figures.

Task per weekTodayWith AISaved per year (44 weeks)
20 site reports, 20 against 5 minutes6.7 h1.7 h220 h, 12,100 euros
6 quotes after a site visit, 2.5 against 1 hour15 h6 h396 h, 21,780 euros
10 new enquiries, 20 against 8 minutes3.3 h1.3 h88 h, 4,840 euros
Total25 h9 h704 h, 38,720 euros

Add the extra work. Say a 400 euro item misses the invoice every month: 4,800 euros a year. If the extra work sits in the report with the client's approval and half of it comes back, that is 2,400 euros. Together: 38,720 + 2,400 = 41,120 euros a year.

And the model itself? For the voice memos OpenAI charges 0.0045 dollars a minute with gpt-transcribe. Twenty memos of ninety seconds a week are 1,320 minutes a year, or 5.94 dollars. For the writing we use Claude Sonnet 5.5, at 2 dollars per million tokens in and 10 out. A report (3,000 tokens in, 800 out) costs 0.014 dollars, a quote with your price list attached (20,000 in, 3,000 out) 0.07 dollars, an enquiry (2,000 in, 500 out) 0.009 dollars. Over a year: 880 reports for 12.32 dollars, 264 quotes for 18.48 dollars and 440 enquiries for 3.96 dollars. In total 40.70 dollars, about 36 euros a year. Check it against your own volumes in the AI cost calculator.

So the model is not the decision. What counts is what the application costs to build, host and maintain. In this example an investment of about 40,000 euros pays for itself in a year, and one of 80,000 euros in two.

Contractors choose between a subscription and their own assistant

There are three roads to AI in a construction firm.

A general subscription, such as ChatGPT or Claude for your team. Quick to start, good for an email. But it does not know your price list or your sites, and what goes in does not end up in your job file. What the plans cost: ChatGPT pricing and ChatGPT vs Claude.

AI inside your construction package. Some packages for contractors add AI features. You get what the vendor builds for everyone, not what your site manager does every evening.

Your own assistant on your own data. Your price list, your old quotes and your reports become the source. The assistant writes in your tone and files everything in the right job. That is what we build.

Choose a subscription to write emails faster, the package if it already covers your whole job, and your own assistant if your quotes and reports should follow your way of working.

The EU AI Act on site

The AI Act applies to firms that use AI, not only to those that build it, in every EU country. Since 2 February 2025 your team must understand what the tool can do and where it fails. Since 2 August 2026 a chatbot on your site must say it is an AI. A site report or draft quote that you check yourself is not high risk. A system that allocates tasks based on how your people behave, or monitors and rates their performance, is: the heavy duties for that start on 2 December 2027. Run the EU AI Act compliance checker on your own use, and read do I need an AI policy for what to put on paper.

A construction assistant, from site visit to every crew

  1. Week 1A call and your documentsA video call in English, then you share ten real reports, five quotes and your price list. If you are near Belgium, we come to your office or ride along to a site.
  2. Week 2One process firstWe start with what saves the most, usually the site report or the quote. You get a proposal with what the first version does and what it does not.
  3. Week 3 to 6First version with one crewOne site manager uses it on his own jobs. We adjust to what he says: the tone, the items, what a report must hold.
  4. Week 7 to 10All crews liveThe other site managers join. Reports and quotes land in your job files, with backups and a server in the EU.
  5. After thatMaintenance and the next processWe keep the assistant current and build the next piece once the first has paid off.

761checked facts in the register behind the four checks on SN Group's site

Grants, renovation duty, permits and VAT: each check reads from a register of verified facts. They are the questions homeowners ask before they call a builder.

Calculators for SN Group, an assistant for your sites

For SN Group, a construction company in Ghent, we built the site with a cost calculator, an energy-label calculator and four checks on a register of 761 facts; there is no AI in it yet, but we know what homeowners ask. The DA Logistics platform runs daily with a weekly planning board and an app for about thirty drivers in three languages. And for AMOSI, our own AI software that went live in July 2026, we built texts that come from a company's facts and that a person approves.

For your construction business:

  • We start on your site, not with a demo. After the first call you know which process pays most.
  • Your site manager works with us from the first version, so the report sounds the way he talks.
  • Your data stays in the EU, on AWS in a European region, under the GDPR, and we tell you which model reads what.
  • Calls and documents in English, with prices in euros.

Want to know what an assistant can do on your sites? Book a call and bring a few reports and a quote.

What builders abroad ask us about AI

Can a team in Belgium build this for a firm in the UK or the Netherlands?

Yes. We work in English, by video call and shared documents, and come on site when it helps. Your rules, forms and price list are the input, whatever country they come from.

Does it work on site with only a phone?

Yes. Recording and photos happen on the phone. Reading and sending can be done on the phone or at the office.

Can AI read a bill of quantities?

A bill of quantities or specification in PDF can be read and turned into items from your price list. Measuring drawings is different: there AI helps to search documents, not to take off quantities.

Can I put client data into an AI model?

Yes, if you know where it goes. We pick a model through its business API and check with you what the provider may do with your data. The rest of the application runs on a server in the EU. Mention it in your privacy notice.

What if the AI prices an item wrong?

The assistant makes a draft, not a quote. You set the price and send it. Every item comes from your own price list, so you see where an amount comes from.

AI for business

How VBS helps you with this

We build AI into your own work: it drafts emails, reads documents and answers questions, and you stay the one who decides.

  • First a task that costs time, then a working prototype
  • On your own documents and your own data
  • An AI policy your team understands

How we approach it is on our page about AI for business.

Your evenings back, your clients better informed?

Show us a few site reports and a quote. We show you what your own assistant makes of them.

Optional, if you prefer a call.

What do you want to achieve, and what is already there?

We only use your details to reply to you.
