Custom ChatGPT for your business
Custom ChatGPT for your business, on your own documents
An assistant that knows your procedures, quotes and files, and tells you where every answer comes from.

Company knowledge lives in folders and heads
A custom ChatGPT for your business is an assistant for your staff that answers from your own documents, points to the passage it used, and shares nothing with the outside world.
Your team asks a question the way they would in ChatGPT. The assistant first searches your procedures, quotes, product sheets, contracts or manuals, pulls up the passages that matter, and only then writes an answer, with each sentence tied to its source. What is not in there, it does not make up. The technique is called RAG, retrieval before generation, and it needs no model of your own to be trained.
This page is about an assistant for internal use, on your own documents. A chatbot for your website visitors and an AI layer on your customer service inbox are separate projects. Here you find what such an assistant does per department, what it costs compared with licences, which EU rules apply, and how a project runs with a team in Ghent, Belgium, that works in English.
Search, paste and guess: how it works today
In most companies of twenty to two hundred people, knowledge is scattered. We see the same pattern almost everywhere:
- Five versions of the same procedureIn a shared folder, in last year's email, and in the head of the colleague who has been there ten years. Whoever searches finds the wrong one.
- New staff ask everything twiceThey do not know where it is, so they ask whoever knows. That colleague loses half an hour a day to it.
- Old quotes are a memory nobody consultsWhat did we charge last year for a similar job? It is somewhere, but nobody finds it fast enough.
- People paste into a public toolPutting a contract or a client file into a free chatbot means that, on the personal plans, your input can train models until you switch it off. What each plan does with your data is in ChatGPT pricing.
- Everyone sees everything, or nobody doesA payroll file in a folder called "General" is found by every assistant that reads that folder. Permissions are the quiet trap of any AI on company documents.
An assistant of your own solves this by doing three things together: it searches the latest version, shows the passage it relies on, and reads only what the person asking may read.
An internal question, answered with its source
Question from the office, 09:12
A client reports a crack in the new shower screen, three months after handover. What do we do?
Searches your documents
- Aftercare procedure v4.pdfQuality, updated in March
- Terms and conditions 2026.pdfSales
- Bathroom price list 2026.xlsxSales
- Site handbook.docxOperations
- Payroll 2026.xlsxNo access for this role
The passages the answer rests on
A report after handover goes to the site manager within two working days, with photos. He schedules a site visit within five working days.
Defects reported within twelve months of handover are repaired free of charge, unless they were caused by misuse.
The answer
Ask the client for photos and pass the report to the site manager within two working days; he schedules a visit within five working days. Three months after handover, the repair falls within the twelve free months, unless misuse caused it.
Second question
Do we also install solar panels?
Not foundThat is not in your documents. I will not make up an answer; ask the sales team.
Example with a made-up company and made-up documents. The assistant reads only what your role may read and shows the passage behind every answer.
What an assistant does, department by department
This is what an assistant on your own documents does reliably today, department by department.
| Department and task | Today | With your own assistant | What you gain |
|---|---|---|---|
| New staff | A colleague explains everything, again and again | Questions about procedures and agreements, answered with the passage from the handbook | Onboarding without anyone stopping work |
| Sales | Digging through folders for old quotes | Similar quotes and prices from earlier years, with the document attached | A price in line with what you charged before |
| Operations and site work | Calling the office for a detail | The technical sheet or site procedure on a phone | Fewer calls, fewer mistakes |
| Quality and aftercare | Looking up the procedure for every report | The right step from the latest version of the procedure | Every report handled the same way |
| Contracts and legal | Reading forty pages for one deadline | A summary with deadlines and amounts, pointing to the clause | You read what matters first |
| HR and staff rules | Leafing through the staff handbook | An answer from the handbook and policies, only for those allowed to see it | Fewer questions for HR |
In sectors with many files, see how this plays out in AI for law firms, AI for accountants and AI for HR. To show the same knowledge to the outside world, an AI chatbot for your website is this assistant's sibling; for your clients' emails there is AI customer service, and an assistant that also carries out tasks is an AI agent. For an assistant inside a platform of your own, see custom software.
Sources as a build rule
AMOSI, our own AI software, let nothing go online unless its source was known: every figure, every price, every line had to come from somewhere. We carry that rule into every assistant we build.
An answer without a source is a guess. An answer with the passage attached can be checked by a colleague in ten seconds, and a document that is out of date shows up at once.
- The passage and the document with every answer
- No answer when it is not in there
- Outdated documents stand out

Search time in hours and euros: a worked example
Take a company where twenty staff look things up every day in procedures, quotes and product sheets. The figures are assumptions; run them again with your own team.
| Item | Per year |
|---|---|
| Search time saved: 20 staff, 10 minutes per working day, 220 working days | 733 hours, 33,000 euros |
| Model cost on Claude Sonnet 5.5: 3,520 questions a month, 4,000 tokens in and 300 out per question | 465 dollars, about 414 euros |
| Follow-up: updating documents and reviewing answers, 2 hours a month at 45 euros | 1,080 euros |
| What remains | about 31,500 euros |
The sum: 20 times 10 minutes times 220 working days is 44,000 minutes, or 733 hours. At an assumed staff cost of 45 euros an hour that is 33,000 euros. The model: 3,520 questions times 4,000 tokens is 14 million input tokens at 2 dollars per million, plus 1 million output tokens at 10 dollars, together 38.72 dollars a month. On Claude Haiku 5.5 (0.10 and 0.50 dollars) it is about 2 dollars a month. Run your own case in the AI cost calculator.
For comparison, licences for the same twenty people: ChatGPT Business, listed at 21 euros per seat per month in Belgium, comes to 5,040 euros a year; Microsoft 365 Copilot Business at 15.60 euros per user to 3,744 euros a year on top of Microsoft 365. Those licences give your team a broad assistant; your own assistant is a narrow one that knows your documents and permissions. Many companies use both.
In this example an assistant of your own may cost up to about 31,000 euros to pay back within one year, before counting how much faster new staff find their way.
Licence or your own assistant: three routes
Your own ChatGPT does not always have to be custom built. This is how the three routes compare, at Belgian list prices; prices in your country can differ.
| Route | Price | Documents and data | Choose this if |
|---|---|---|---|
| ChatGPT Business with your own assistants | 21 euros per seat per month, Premium 105 euros | Files in a project or custom assistant; no training on your input; storage in Europe can be contracted on Enterprise | Your team mainly wants writing help and a handful of fixed documents |
| Microsoft 365 Copilot | 15.60 euros per user per month on an annual contract, on top of Microsoft 365 | Reads what the user can already open in email, chats and files; stays in your Microsoft 365 tenant | Your company already works in SharePoint and Teams and permissions are in order |
| Your own assistant, custom built | No per-seat price: the model per question, plus the build | Your folders, software or CRM, with permissions per role and the passage behind every answer; on AWS in the EU | Many people share a narrow task, your own software has to be read too, or you want to decide where data is stored |
An assistant inside ChatGPT or Copilot is quick to set up. It runs out where your documents get large, where each department has different permissions, or where answers must come from your own software. Which language model suits which work is in ChatGPT vs Claude.
Document permissions and the EU rules
An assistant on your documents sees everything you give it. So we build it around three rules, which apply to any company with staff or clients in the EU.
Permissions per role. The assistant reads only what the person asking may open. It skips a document without access, even if the answer is in it. Clean up your folders before you start: a payroll file in a general folder is the first thing an assistant finds.
The GDPR. When your documents hold personal data, as staff files and client contracts do, every service that processes them is a processor. Article 28 requires a contract that sets out what, for how long and why. We keep documents and the search index in an EU environment. The language model runs through Amazon Bedrock with processing kept inside the EU; the model's maker does not see your prompts and answers there, and Bedrock lets you set per region whether anything is retained.
The EU AI Act. Since 2 February 2025, Article 4 requires that staff who use AI understand its limits: a short briefing at the start and an AI policy usually cover it. Since 2 August 2026, people talking to AI must know it (Article 50); for an assistant labelled as such on your intranet, that is obvious. If you use it to decide about employees, such as in hiring or performance reviews, that falls under the high-risk rules from 2 December 2027; the new timeline is explained in EU AI Act high-risk delay. Which duties your use case carries, see the EU AI Act checker.

Assistant project, week by week
- Week 1The questions and the foldersWhich questions does your team ask every day, and where are the answers? We pick one department and one set of documents to start with.
- Weeks 2 and 3Documents and permissions in orderLatest versions, duplicates out, permissions per role. Scanned documents go through text recognition.
- Weeks 4 to 6A trial with your teamFive to ten colleagues ask their real questions. We measure how often the answer is right and shows the right passage.
- Weeks 7 and 8Rollout in the departmentOn your intranet, in Teams or as a web app of its own, with sign-in through your existing accounts where possible.
- After thatDepartment by departmentNew documents are picked up automatically. We measure every extension in the hours it saves.
Software with sources and permissions we built: AMOSI and Business Centrum platform.
Sources and permissions: how we built them before
For AMOSI, our own AI software that went live in July 2026, we built the reading of what a company supplies, with the source kept for every fact: the core of an assistant of your own. For Business Centrum, a payroll bureau in Ghent, we built a management platform with encrypted data, two-factor sign-in, a log of who did what, and an import that read 971 employees and 309 employers from their real spreadsheet in the trial. That is how we treat your documents too.
What you get from us:
- A trial on a real stack of documents, not a demo.
- Permissions per role that follow your existing accounts.
- The passage with every answer, and an honest "I don't know".
- Data in the EU, under a processing agreement.

Managers ask us about a company assistant
Do I need to train my own AI model?
Almost never. An existing language model that searches your documents first gives better answers with a source, follows your changes at once and costs far less than training a model of your own.
Do my documents go to OpenAI or Anthropic?
Not if you do not want them to. We keep documents and the search index in the EU and use the language model through Amazon Bedrock with processing inside the EU, where the model's maker does not see your prompts and answers.
Can I not just make a custom GPT in ChatGPT?
For a handful of fixed documents and a team that already has ChatGPT Business, yes. Once the collection grows, each department has different permissions, or your own software has to be read too, an assistant of your own pays off.
Which documents can the assistant read?
PDF, Word, Excel, email, intranet or website pages and data from your software. Scanned paper goes through text recognition first.
Does it work in languages other than English?
Yes. It answers in the language of the question, also when the documents are in Dutch, French or German, and still shows the original passage.
How long until we use it?
Count on six weeks for a trial with one department and eight weeks for a first rollout. The tidier your folders, the faster it goes.
AI for business
How VBS helps you with this
We build AI into your own work: it drafts emails, reads documents and answers questions, and you stay the one who decides.
- First a task that costs time, then a working prototype
- On your own documents and your own data
- An AI policy your team understands
How we approach it is on our page about AI for business.
What does your team search for longest?
Show us the folder everyone searches. We will show what an assistant of your own makes of it, and what that is worth to you each year.
