Two assistants next to the tools you already use

If your company lives in Google Workspace, Gemini is the shortest route and often already paid for. On Microsoft or a mix of tools, ChatGPT sits closer to the work.

Start from your inbox and your files
The question is less which model is smarter than where your work already lives. An assistant that already knows your email and documents saves time every day; one you have to feed by copying and pasting asks for discipline.
You run Google Workspace. Then you already have Gemini. Business Starter, 6.80 euro per user per month on a one-year contract, puts Gemini in Gmail and lets you chat with it. From Business Standard, 13.60 euro, it is also in Docs and Meet, with more access in the Gemini app. Gemini works inside your own mail and files, within the sharing rights you already set in Workspace. A ChatGPT licence on top only pays off if your team needs something Gemini does not do.
You run Microsoft 365. Then Copilot is the assistant that sits inside Outlook and Teams, and it deserves a look first. Between ChatGPT and Gemini, ChatGPT sits closer to your work here: it connects to Microsoft 365 and has extensions for Excel and PowerPoint. Gemini can work with Microsoft 365 too, through Gemini Enterprise, from 21 dollars per licence per month.
You run a mix, say an ERP, a CRM and email at your hosting provider. Then both are a separate workspace and you choose on what your team does with it. If Claude is on your list as well, read ChatGPT vs Claude.
Gemini or ChatGPT in your team's language
Both answer in the language you write in. The difference is in the features around the chat. ChatGPT's interface, menus included, comes in many languages. Gemini in Workspace differs per feature. The Gemini side panel next to your mail, documents, spreadsheets, Drive and Slides works in about thirty languages. The writing help in Docs, automatic notes in Meet and the summary on top of a long email thread work in English, French, German, Italian, Japanese, Portuguese and Spanish, and Meet notes and thread summaries in Korean as well. A team in Lyon or Munich gets all of it; a team in Rotterdam, Warsaw or Stockholm gets the side panel but not the notes.
Neither provider publishes a measurement of how well its model writes in a given language. Test it yourself: give both the same customer email, ask for a reply in your house style, and let the colleague who normally writes those emails pick one without knowing which came from where.
| Feature | ChatGPT | Gemini in Workspace |
|---|---|---|
| Menus and app | Most European languages | Most European languages |
| Chat and answers | Any language you write in | Any language you write in |
| Side panel in Gmail, Docs, Drive | Not applicable | About thirty languages |
| Writing help in Docs | Not applicable | Seven languages, English, French and German among them |
| Notes in Meet | Recording mode in the ChatGPT app | Seven languages, plus Korean |
Google also brings Gemini into Search; what that means for being found is in Google AI Mode, and what changes for chatbots that talk to customers in EU AI Act transparency obligations.
Twelve people, two bills
A worked example for twelve people, with October 2026 prices in euro.
| Setup for twelve people | Per month | Per year | What is included |
|---|---|---|---|
| Workspace Business Starter | 81.60 euro | 979.20 euro | Email, storage, Gemini in Gmail and chat |
| Workspace Business Standard | 163.20 euro | 1,958.40 euro | Email, 2 TB each, Meet, Gemini also in Docs and Meet |
| ChatGPT Business Standard | 252 euro | 3,024 euro | The assistant; email and storage paid separately |
| Workspace Starter plus ChatGPT Business | 333.60 euro | 4,003.20 euro | Both, for teams that need ChatGPT's extras |
Workspace amounts are on a one-year contract and exclude VAT. Both providers set prices per country, so check yours in your own currency before you budget. New Workspace customers get a temporary discount for the first three months, so year one comes out a little lower.
That makes Gemini cheap for companies already on Google, and expensive for anyone who would move only for the assistant: you would move email, calendars and files along with it. What every ChatGPT plan costs is in ChatGPT pricing; run your own usage through the AI cost calculator.
Three situations, three choices
- An office of six on Google Workspacethat mostly emails, writes quotes and meets. Gemini is already in Business Standard; an extra licence is rarely needed.
- An installer on Microsoft 365quoting in Excel and reporting in Word. ChatGPT Business with its Excel and PowerPoint extensions, or Copilot in Outlook and Word. Gemini would be a detour.
- An online shop with a niche package and email at its hostBoth are a separate workplace; choose on what the team makes. Images and recordings point to ChatGPT, a cheap start for one person to Google AI Plus.
Agreements before you switch it on
- An AI policyWhat may go in, what may not, who checks. Under the EU AI Act, employers must ensure AI literacy of staff using AI since February 2025; see do I need an AI policy and the EU AI Act checker.
- Check sharing settings, especially with Gemini, which searches within your existing permissions.
- One assistant for client data, recorded in your policy.
- Start smalla few people, a month, three fixed tasks.
Gemini or ChatGPT, question by question
Can we use Gemini if we work in Microsoft 365?
Yes, through Gemini Enterprise, which connects to Microsoft 365, from 21 dollars per licence per month. That costs more than ChatGPT Business and lacks the Excel and PowerPoint extensions. If you want an assistant inside Outlook and Word themselves, look at Copilot.
Does Google read our business email to train Gemini?
In Workspace, Google does not use your data to train models outside your domain without permission. In the free consumer Gemini app, human reviewers do read some conversations, so keep customer data out of it.
Can a colleague use a personal ChatGPT Plus or Google AI Pro account for work?
Better not with client data. A personal plan sits outside your control: you cannot close the account when someone leaves, and the promises about not training on business data only cover the business plans. Write down in your AI policy which account is the work account.
Should we move to Google Workspace just to get Gemini?
Only if your email, calendars and files would move anyway. For the assistant alone, a move rarely pays: everyone changes how they mail and share. On Microsoft 365, compare ChatGPT and Copilot first.
