Purchase invoices and expenses
Invoice automation for purchase invoices and receipts
Invoice automation: every purchase invoice and receipt read, matched and approved, ready for your accountant.

Purchase invoices arrive by five different routes
Invoice automation starts with an honest count. A small or mid-sized company gets purchase invoices in the shared inbox, in the managing director's inbox and through an e-invoicing network. Staff carry receipts for fuel, parking and materials in their wallets. And somewhere there is still a paper invoice from a supplier abroad.
Each one has to be read, land on the right project, vehicle or department, be approved by someone, be paid and reach the books. It is admin nobody enjoys, and it comes back every month.
Automating it means: everything arrives in one list, AI invoice processing with text recognition (AI OCR) reads whatever is not yet a structured e-invoice, the system proposes the project and the approver, and a person only handles what is uncertain. That works for any company that buys things, not only for accountants. We build it from Ghent, Belgium, for companies across Europe, in English.
Where e-invoicing changed the work, and where it did not
E-invoicing is spreading across the EU. Under the VAT in the Digital Age package, invoices for intra-EU B2B sales move to structured e-invoices with digital reporting from 1 July 2030, and several countries go earlier. Belgium is a useful example of what that looks like in practice: since 1 January 2026, Belgian VAT-registered businesses must send each other structured e-invoices, in practice through the Peppol network. The tolerance period ended on 31 March 2026, and a business without the means to send or receive risks a fine of 1,500 euros, then 3,000 and then 5,000 euros. Receiving is part of the duty.
That removes part of the retyping: an e-invoice arrives as data. But not everything does.
| Situation | What the rule says | What the automation does |
|---|---|---|
| Peppol e-invoice from a Belgian supplier | Mandatory since 1 January 2026; in principle needed to deduct VAT | Reads the fields directly, no OCR |
| Belgian supplier still emailing a PDF | Deduction stays if the conditions are met, but the sender risks a fine | Reads the PDF and flags the supplier |
| PDF or paper from a supplier abroad | Outside the Belgian duty without a fixed establishment | Reads with OCR, checks VAT and currency |
| Photo of a staff receipt | A till receipt stays a till receipt | Reads date, amount and VAT, links person and project |
| Credit note on an e-invoice | Follows the same format | Puts it next to the original invoice |
| Archive in Belgium | Seven years, no longer ten | A searchable archive per year, with the date a document may go |
| EU AI Act | AI literacy for staff since 2 February 2025; reading invoices is not high risk | Every suggestion with its confidence and who approved it |
If you trade in Belgium, the rules are explained in plain English in e-invoicing in Belgium and Belgium's e-invoicing penalties; what the country adds in 2028 is in e-reporting in 2028. Whether a Belgian supplier or customer is already on Peppol takes seconds with the Peppol check. Which duties your own AI use carries, see the EU AI Act compliance checker.

Every step around an invoice, and what it brings
Reading is only one step. The gain is in everything around it.
| Step | Today | Automated | What you gain |
|---|---|---|---|
| Receiving | Invoices in three inboxes, receipts in a wallet | One invoice address, the e-invoicing network and an app for receipts feed one list | Nothing sits in someone's inbox |
| Reading | Retyping supplier, number, date, amount and VAT | E-invoices read as data, a PDF or photo with AI OCR, with a confidence per field | You check instead of type |
| Checking | A duplicate invoice shows up at payment, or never | Duplicate numbers, an amount that differs from the order, or a new bank account for a known supplier are flagged | Fewer double payments, less fraud with fake bank details |
| Matching | Someone works out which project or vehicle it belongs to | A proposal from the reference, the supplier and last time's choice | Costs per site, vehicle or department, correct every day |
| Approving | Emailing the budget holder and waiting | The invoice goes to whoever owns the budget, with a reminder | Paid on the due date, not late and not early |
| Paying | Retyping a payment reference | A payment file with the right amount and the right reference | No payment the supplier cannot match |
| Bookkeeping | A folder of PDFs for the accountant | An export or integration in the format their package imports, document attached | Your accountant books in hours, not days |
Belgian payments carry a structured reference; the Belgian structured communication tool makes and checks one. Sending your own sales invoices through Peppol is a different job with its own page: Peppol invoicing software. A system that also takes the next step, such as asking a supplier for an e-invoice, is an AI agent. Accounting firms should read AI for accountants and software for accounting firms, and why a team in Belgium can work for you is on nearshore software development.
Receipts that drivers upload on the road
For DA Logistics, a Belgian haulier, we built a platform where about thirty drivers report expenses from their phone: a photo of the receipt for a truck wash, parking or tolls, in Dutch, English or Turkish. In the office those receipts sit in one list to approve and reimburse, and the accountant gets a bundle.
That is the flow where AI takes over the reading: date, amount and VAT of the receipt are filled in before the driver taps on, and whoever approves sees at once what is missing.
- A photo of the receipt, or saying there is none
- Approve and reimburse from one list in the office
- A bundle for the accountant

Thirty staff, 600 documents a month: the sum
Take a company with thirty staff, 360 purchase invoices and 240 receipts a month. The figures are assumptions; run them again with your own admin.
| Per month | By hand | Automated, a person approves |
|---|---|---|
| 360 purchase invoices opened, entered, matched and sent for approval, 5 minutes each | 30 hours | 6 hours |
| 240 receipts collected, chased and entered, 6 minutes each | 24 hours | 6 hours |
| Hunting for missing documents before the VAT return | 8 hours | 1 hour |
| Total | 62 hours | 13 hours |
That is 49 hours a month, or 588 hours a year. At an assumed staff cost of 45 euros an hour it is worth 26,460 euros a year. Add, say, two invoices a year paid twice or to a fake bank account, at 1,500 euros each: 3,000 euros. Together 29,460 euros a year.
And the reading itself? Reading one document takes a language model about 2,500 input tokens and 400 output tokens. With Claude Sonnet 5.5, at 2 dollars per million input tokens and 10 dollars output, that is 0.9 dollar cents a document: 600 documents cost 5.40 dollars a month, about 4.80 euros. With a fast model such as Claude Haiku 5.5 or GPT-6 Luna, at 0.10 and 0.50 dollars, it is 27 dollar cents a month. E-invoices do not even need reading. Run your own volume in the AI cost calculator, and compare the models in ChatGPT vs Claude.
So in this example an investment that pays back within a year may cost up to about 29,000 euros, or up to 59,000 euros over two years.
Invoice scanning packages and their prices
If all you need is invoices read and passed to the books, good packages exist. This is what they charge, from their own pricing pages.
| Package | What it does | Price per month |
|---|---|---|
| Dext | Reads receipts and invoices and sends them to your accounting package | 25.21 dollars excl. VAT for 5 users and 250 documents; line-item extraction from 20.50 dollars extra |
| Billit, Belgium | Sends and receives Peppol invoices, scans purchase invoices and receipts in its app | Up to 25 documents 7.50 euros, up to 500 documents 25 euros, up to 1,000 documents 250 euros, per company; one month free when paid yearly. Extra user 5 euros |
| Exact Online accounting, Belgium | The bookkeeping itself, with Peppol, a receipt scanning app and an agent for purchase invoices | From 49 euros excl. VAT with one user |
Pick a package if invoices only need to reach the books and your accountant already works in it. Pick your own automation if an invoice has to land on a project, a vehicle or a job sheet in your own software, if approval runs per department or budget, or if your staff already upload receipts in your own app. Then the invoice becomes part of your process instead of a copy next to it. The trade-offs are in build vs buy software.

E-invoices and PDFs in one list
On 1 April 2026, the day after Belgium's tolerance period ended, FK Boekhouding wrote on the site we built for them what the passed Peppol deadline means for business owners. Their clients now get a mix: e-invoices from Belgian suppliers, PDFs from those who are not ready, paper from abroad.
Good automation hides that difference from whoever approves. An e-invoice and a PDF that was read sit in the same list, with the same fields and the same approve button.
Invoice automation rollout: a trial month, then every day
- One month of invoices as a trial, weeks 1 and 2You share a month of purchase invoices and receipts. We show per field what the system extracts, where it hesitates and how much time it saves.
- First version, weeks 3 to 8Your invoice address, the e-invoicing network and your staff's receipts come into one list, with approval per budget holder and matching to your projects or vehicles.
- Connect to your bookkeepingAn export or integration in the format your accountant's package imports, document attached. We test a full month before going live.
- Better every monthWhatever you correct, the system remembers for the same supplier. The list of doubts gets shorter each month.
Expenses in an app, as at DA Logistics
At DA Logistics, a Belgian haulier, drivers report expenses in an app in three languages, the office approves them in one list and the accountant gets a bundle; reading the receipt is the step AI adds on top. For Business Centrum we built a management platform with an import that checks and reports what does not add up. And for AMOSI, our own software that went live in July 2026, we built the reading of company documents, with the source kept for every fact.
What we do for your admin:
- We start with a month of your own invoices, not a demo, and show what the system reads and where it hesitates.
- We build the whole flow: receiving, reading, checking, matching, approving, paying and passing on to your accountant.
- Anything uncertain goes to a person; nothing lands silently in the books.
- Your data stays in the EU, under a GDPR processing agreement, and the language model does not train on your invoices.
The full offer is on AI automation. Share a month of invoices: book a call.
What companies ask about invoice automation
Doesn't my accounting package do this already?
Many packages read an invoice. The difference is what happens before and after: receipts from your own app, matching to a project or vehicle, approval per budget holder, and doubts that go to the right person.
How reliable is AI OCR?
On a clean PDF the fields are almost always right. On a crumpled photo of a receipt, less so. That is why every field gets a confidence, and an uncertain field becomes a question instead of a guess.
Is this still worth it with e-invoicing coming?
Yes. E-invoicing structures domestic B2B invoices, but receipts, foreign invoices and PDFs from suppliers who are not ready remain. And an e-invoice still has to be matched, approved and paid.
Does it work outside Belgium?
Yes. The reading works for invoices in any European language, and we build the export for the accounting package you use. VAT rules differ per country, so your accountant sets the rules the system follows.
Is our financial data safe?
Data stays on servers in the EU with backups and roles per colleague. The language model does not train on your invoices, and we sign a GDPR processing agreement.
Can staff upload receipts in their own language?
Yes. The DA Logistics driver app runs in Dutch, English and Turkish, and reading works for receipts in other languages too.
AI automation
How VBS helps you with this
We make emails, quotes, documents and follow-up run by themselves, built into the way you already work.
- One flow per task, from form to confirmation
- A person approves what matters
- Runs on AWS, with a log and an alert when something fails
How we approach it is on our page about AI automation.
One month of invoices, and what can run by itself?
Share a month of purchase invoices and receipts. We will show you what the system reads, where it hesitates and what it is worth to you each year.
