Reporting is the only way
You cannot delete a review on your own business yourself. You can report it, and Google removes it if it breaks the contribution policy. What does not count, Google writes plainly: do not report a review because you disagree with it. Google does not mediate between a business and a customer; seeing things differently is no reason. Bought or rewarded reviews vanish just as well, as can I buy Google reviews explains. You report as the owner of a verified profile; if you have none yet, start with create a Google Business Profile, which is free.
Report, follow up and appeal
- ReportFrom the reviews in your profile, or through Google's review management tool: pick the review and the reason. Five minutes.
- Follow upThe tool shows the status: under review, no violation or escalated. The review usually takes several days.
- AppealIf Google found no violation, you can appeal once, for up to ten reviews at a time. Add what you know: why it is a competitor, why the customer does not exist.
- The legal routeDefamation or an infringement of your rights can be reported as illegal content under the EU Digital Services Act, or handled through a lawyer.
How to reply to a review that stays
Your reply is read mostly by future customers. They see how you handle criticism, and an owner who calmly explains what happened earns more trust than a row of nothing but five stars. Two to four sentences, within a week:
| Step | What you write | Example |
|---|---|---|
| Thank | that the customer took the time | Thank you for letting us know. |
| Acknowledge | what is true, no apology for what is not | The delivery did arrive two days later than promised. |
| What you did | the concrete step | We have since added a second courier. |
| Invite | the conversation away from Google | Call us on the number on this profile and we will sort it out together. |
No personal details of the customer, no public argument, no legal threats. If you reported the review, wait with replying until Google decides, so your reply does not vanish with it. You may ask a customer to update their review once you solved the problem, as long as you promise or give nothing in return.
