Software Kortrijk
Software company for Kortrijk manufacturers

Quotes, work orders and planning in one system that follows how your plant really works.
Manufacturers in the Kortrijk region
If you look for a software company in Kortrijk, you often work at a company that makes, installs or delivers something. At the end of 2025, 523 industrial companies and 1,112 construction companies had their seat in Kortrijk; in Waregem, a quarter of an hour away, another 326 industrial and 784 construction companies. They are furniture makers, steel builders, installers, printers and suppliers that have grown for years while their administration did not grow with them.
Many of them now work in more than one language. A plant that belongs to a foreign group reports to its head office in English, its office works in Dutch, its buyers write in French and its people on the floor speak Dutch, French and the languages they brought with them. This page is written for the managers who work in English. Their day runs on the same chain as everyone's: a quote, an order, a planning, a work order and an invoice. At each step someone retypes something from another system, or looks for a paper in the van. Custom software takes that double work out. On 'software company kortrijk' Google suggests 'software company kortrijk belgium', and 'software development kortrijk' and 'software developer kortrijk' come back too: people search. Below: what we build, when an app or a web app fits, which languages it should speak, what a first version costs on the market and what to watch.
Quote to invoice, and the screen that goes with each step
- 01QuoteA template that pulls prices from your own list and leaves as a PDF.
- 02OrderThe client's approval becomes an order with a delivery date, without retyping.
- 03PlanningA board per week with crews, machines and conflicts in red.
- 04Work orderOn the phone or tablet: hours, materials, photos and a signature.
- 05InvoiceFrom the work order, ready for your accountant and for Peppol.
An example of how we split a process; which steps you build first depends on where you lose the most time now.
Three processes we build most
The work order app. An engineer or fitter fills in on a phone or tablet what they did: hours, materials, photos, the client's signature. At the office the work order is ready for the invoice straight away, without anyone retyping a paper. More at work order app and time tracking app.
The planning. A board per week with crews, machines or vehicles, which points out conflicts itself: two crews on the same machine, a fitter on leave on a planned day. For DA Logistics we built such a board for routes and drivers; for construction read construction scheduling software, for staff staff scheduling software.
The client portal. A client who sees their own orders, delivery dates and documents calls less. For Business Centrum we built such a portal behind a login with a magic link, next to their internal management platform. More at client portal.
App or web app: choose on who uses it
| Question | A web app in the browser | An app in the store |
|---|---|---|
| Who uses it? | the office, clients, fitters with wifi | fitters on the road without signal |
| Does it work offline? | to a limited extent | yes, and syncs later |
| Camera, GPS, scanner? | camera and GPS through the browser | fully, barcodes and NFC included |
| Installing? | not needed, a link is enough | through the App Store and Google Play |
| Updates | at once for everyone | through the store, with a wait |
- Choose a web app ifyour users mostly work at the office or with a good connection. It is built faster, works on every device and every update reaches everyone at once.
- Choose an app ifyour fitters work in basements, on sites or in halls without signal, or scan barcodes. Working offline is then no luxury.
- Choose both ifthe office and the field do different things. The DA Logistics drivers use their own self-service on their phone in Dutch, English or Turkish; the office works in the browser.

Which language the software speaks
In a plant in Flanders, software has more readers than the people who ordered it. Plan the languages up front: adding one later touches every screen.
| Who uses it | Language | Why |
|---|---|---|
| Head office and management | English | reports and dashboards for a group that works in English |
| Office staff and planners | Dutch | the working language of the office |
| People on the floor and on the road | Dutch, plus their own language where it helps | documents meant for staff in Flanders are in Dutch under the Flemish language decree; a second language beside it makes them usable |
| Clients in the portal | Dutch, French or English | the language of the client, as on your site |
On the transport platform we built, each user picks their own language and the screens follow; the data underneath stays the same. That is how a planner in Dutch and a head office in English look at the same order.
Adapting a package or custom software
Many Kortrijk companies already work with an ERP or accounting package. The question is what you build next to it.
- Start
- Package with adaptationsfast, the base exists
- Custom softwareslower, first draw up your process
- Licences
- Package with adaptationsper user, every year
- Custom softwareno licence per head, but hosting and maintenance
- Your own way of working
- Package with adaptationsyou adapt to the package
- Custom softwarethe system follows how you work
- Integrations
- Package with adaptationswhat the package offers
- Custom softwarewhat you need, also with your accountant
- Owner of the data
- Package with adaptationsunder the supplier's terms
- Custom softwareyou, with export without conditions
If you work like the rest of your sector, take a package. If your way of working is your edge, or you pay many licences for fitters who need one screen, have custom software priced.
Version one of a work order app: cost and lead time
Developers and agencies in Belgium usually charge between 50 and 150 euros an hour for custom work. A first work order app with planning, users and an export to the accounts quickly takes 200 to 300 hours, design, security and testing included. At those rates you land roughly at 10,000 to 45,000 euros, and such a first version can be in use after three to four months.
We do not charge hours. In one or two conversations we settle what version one must do, and a fixed project price comes with it. How a software quote is built up is in custom software development cost; whether you are better off buying than building, in build vs buy software.
Where time leaks away today
Before you build anything, walk your own chain and write down where someone retypes, searches or waits. In most manufacturers we speak to, it looks like this:
| Step | What happens today | What software makes of it |
|---|---|---|
| Quote | a Word file per client, prices from an old list | a template that pulls your current prices |
| Order | the approval comes by email and is retyped | the approval becomes an order with a delivery date at once |
| Planning | a whiteboard or Excel only the planner understands | a weekly board everyone sees, with conflicts in colour |
| Work order | paper in the van, sometimes days late | an order on the phone, with photo and signature |
| Invoice | put together from orders and emails | straight from the finished work order |
Start where most crosses are. Often that is the work order: it touches the fitter, the planner and the accounts, and every lost work order is revenue that is never invoiced.
Measure for a week first
Before the first workshop it helps to tally for a week: how many work orders come in, how many late, how many hours the office spends retyping. With those figures you know what version one brings, and you choose the first step on facts rather than on feel.
What to watch
- Start with one process, not everythingAt DA Logistics that was fuel under Kader B, the Belgian excise regime; the planning board came after.
- Owner of code and dataAgree that both are yours and that your data can be exported.
- Security from day oneThe Business Centrum management platform has two-factor authentication, encryption of sensitive data and 65 abuse tests that run on every change.
- A release without downtimeA new version of our platforms is live in a few seconds, with a backup first and always a way back.
- E-invoicingInvoices between companies in Belgium go through Peppol since 2026; a system that makes invoices has to support it. See e-invoicing in Belgium.
Your accountant belongs at the table
Software that turns work orders into invoices touches your accounts. Bring your accountant into the conversation about version one: which data they need, in which format, and how invoices leave through Peppol. An integration that makes their work easier also saves you time at every closing.
From Ghent for Kortrijk and Waregem
Our office is on the Sint-Baafsplein in Ghent, 48 kilometres and 35 minutes by car from Kortrijk, and the train takes half an hour. For the workshops where we draw up your process, we come to your workshop or office: software is built better when you have seen the floor. The workshops, the analysis and the reports can be in English, the screens in whatever languages your people need. We have no Kortrijk clients yet. What we show are the platforms of DA Logistics, Zuco Logistics and the Business Centrum management platform. How we build software is on custom software and app development. If you also need a new site for export, read web design in Kortrijk.
Custom software
How VBS helps you with this
We build the platform your business runs on every day: your spreadsheets, emails and paperwork in one system that does what you do.
- Your workflow mapped first, then a fixed price
- Screens for the office, the client and the road
- Hosting, backups and security managed by us on AWS
How we approach it is on our page about Custom software.
