Teamleader pricing for Teamleader Focus on annual billing is €25 per user per month for SMART, €33 for GROW and €45 for FLOW, excluding VAT. From the sixth user you pay roughly half, your first invoice gets 25 percent off and you always pay for at least two users. A team of eight on GROW pays €2,592 a year in licences, or €1,944 in the first year.
The pricing page says from €24.75. That is GROW with the first-invoice discount, not what you pay in year two. Below we work out all three plans for 3, 8 and 15 users, with the boosters, the AI credits and the contract details that change the bill. VBS sells no Teamleader licences and is not a Teamleader partner. We do build Teamleader integrations, so we see how these bills grow in practice.
Teamleader is a CRM from Ghent, Belgium, built for service businesses: quotes, projects, hours and invoices in one workspace. It has more than 34,000 customers and offices in Ghent and Amsterdam, so it is built around the Belgian and Dutch way of quoting and invoicing. It is SaaS, so you rent it per user per month. Next to Focus there is Teamleader Orbit, for agencies of twenty people or more with its own pricing, and Dexxter for sole traders. This guide covers Focus, the product most companies mean when they say Teamleader.
Annual billing against quarterly billing
Per user per month, excluding VAT. A yearly contract is cheaper; a quarterly one leaves you more room to stop.

How Teamleader pricing adds up for 3, 8 and 15 users
| Team | SMART per month | SMART per year | GROW per month | GROW per year | FLOW per month | FLOW per year |
|---|---|---|---|---|---|---|
| 1 person (pays for 2) | €50 | €600 | €66 | €792 | €90 | €1,080 |
| 3 users | €75 | €900 | €99 | €1,188 | €135 | €1,620 |
| 8 users | €162.50 | €1,950 | €216 | €2,592 | €292.50 | €3,510 |
| 15 users | €250 | €3,000 | €335 | €4,020 | €450 | €5,400 |
Look at the last row. Fifteen users on GROW do not cost five times as much as three, but just over three times. The discount from the sixth user makes Teamleader cheaper per head as you grow: €33 per person at three users, €22.33 on average at fifteen.
Over three years at today's prices, a team of eight on GROW pays €1,944 in year one and €2,592 in years two and three: €7,128 in total. Prices can change at renewal, so read the renewal email.
Working alone: you pay for two
Teamleader charges a minimum of two users and calls it the second user for free. For a sole trader that means SMART costs €50 a month, or €600 a year. If you truly work alone and mostly need quotes and invoices, compare with Dexxter, the product Teamleader itself offers for sole traders, with a lighter tool from our Teamleader alternatives, or with the options in CRM for sole traders. Two people pay the same as one.
What SMART, GROW and FLOW include
| What you get | SMART | GROW | FLOW |
|---|---|---|---|
| CRM, time tracking, reports | yes | yes | yes |
| Branded quotes and documents, invoicing | yes | yes | yes |
| Sending Peppol invoices | yes | yes | yes |
| Receiving Peppol invoices | no | yes | yes |
| Automatic payment reminders and subscriptions | no | yes | yes |
| Margin management and extended quotes | no | yes | yes |
| Sales pipelines | 1 | 2 | unlimited |
| Leave management, financial forecasts, multiple entities | no | no | yes |
| Live chat support | no | no | yes |
| AI credits per account per month | 100 | 200 | 300 |
For most service businesses in Belgium, GROW is the plan that fits. Since 1 January 2026, VAT-registered businesses in Belgium must be able to send and receive Peppol invoices; read whether Peppol is mandatory in Belgium. With SMART you send but do not receive inside Teamleader. Your accounting software can receive instead; read which software you need for Peppol, and the Peppol glossary entry for the basics.
FLOW is mainly worth it for several companies in one account, unlimited pipelines or leave management. A foreign group with a Belgian and a Dutch entity is a typical FLOW customer. Without those needs, the gap with GROW is €918 a year at eight users.

The door
- OAuth 2: the integration is registered on the Teamleader Marketplace, with a client id, a secret and chosen scopes. The administrator approves it once.
- When renewing fails, the administrator gets a message to connect the integration again.
- Too many calls in the last minute returns 429. The headers say when it is allowed again, and the integration waits until then.
- On an update Teamleader replaces a list such as invoice lines as a whole. So the integration always sends every line.
Example with made-up times, based on Teamleader Focus's public API documentation. We are not a Teamleader partner.
Integrations: Marketplace, accounting connector or your own
On top of your licence you pay for whatever connects Teamleader to the rest of your business. The cheapest is the accounting connector: €5 a month per account to sync with Exact Online, Yuki or Octopus. Beyond that, the Marketplace lists more than 230 integrations, each priced by its maker.
If no app fits, for example because your head office runs another ERP or CRM, you build your own API integration on Teamleader's public API. It uses OAuth 2: an access token valid for about an hour, a refresh token to renew it, and webhooks that report when a deal is won or an invoice is paid. A custom integration has no price per user. You pay for the build and the upkeep, not every month per head. Read how that works in API integration services. For simple flows a no-code tool can be enough; see Make, Zapier or n8n.
Boosters and AI on top of the licence
| Booster, per account per month | Annual billing | Quarterly |
|---|---|---|
| Project management | €35 | €45 |
| Planning | €35 | €45 |
| Shared inbox | €50 | €60 |
| Advanced statistics | €25 | €30 |
| Lead capture | €20 | €25 |
| Work orders | €20 | €25 |
| Accounting connector | €5 | €6 |
| Focus AI Pro, 2,000 credits | €20 | €25 |
| Focus AI Pro, 6,000 credits | €35 | €45 |
| Focus AI Pro, 15,000 credits | €75 | €95 |
| Focus AI Pro, 30,000 credits | €150 | €180 |
Boosters are charged per account, not per user. For a team of three they weigh heavily, for a team of fifteen much less. AI credits are shared across the account: 200 credits on GROW run out fast when five people have AI draft quotes or emails every day.
Three companies, three bills
The same price list gives very different yearly totals depending on what you add. Three examples of our own, on annual billing and excluding VAT, without the first-invoice discount:
| Company | Plan and boosters | Per month | Per year |
|---|---|---|---|
| Installer with 3 people in the field | GROW, Work orders, Planning | €154 | €1,848 |
| Consultancy with 8 people | GROW, Project management, Planning, Accounting connector | €291 | €3,492 |
| Group of 15 with two legal entities | FLOW, Project management, Shared inbox, AI Pro 6,000 | €570 | €6,840 |
The installer pays almost as much for boosters as for licences: €55 against €99 a month. For the group of fifteen the boosters weigh less, but the money sits in FLOW itself, needed for the second entity. Make your own list: who logs in, which boosters you really use every week, and how many AI credits your team burns. Those three numbers shape your bill more than the price per user on the homepage.
Teamleader next to HubSpot, Odoo and a custom CRM
For a small team Teamleader is rarely the cheapest CRM, but it is one of the few with quotes, hours, invoices and Peppol in one product. HubSpot Starter costs €20 per seat and stops at ten users; read HubSpot vs Teamleader for the full comparison. If you handle stock or production, read Odoo or Teamleader. A wider price overview sits in what a CRM costs.
A custom CRM pays off when your process does not fit a package and you work around it in Excel, or when your team grows so large that licences and boosters return every year without you owning anything. Put your own numbers side by side with the software development cost calculator.
What we built before: for Zuco Logistics a platform went live in 57 minutes, with its own server per client and a daily backup. For DaTrans a platform runs that 31 users rely on every day. To see what that could mean for your process, read about custom software.
Check this before you sign
- Count everyone who must log in, including people who only log hours or view invoices.
- Pay annually only if you are sure you will stay a year; quarterly costs more but is more flexible.
- Put the renewal date in your calendar: you can cancel up to 15 days before it.
- Decide whether Peppol invoices arrive in Teamleader (GROW) or in your accounting software.
- Add the boosters you will actually use, per account and per month.
- Estimate how many AI credits your team uses each month and whether you need Focus AI Pro.
- Ask your accountant which connection they expect: the accounting connector or something else.
