HubSpot vs Teamleader is rarely a fight between two equal products. HubSpot is an American CRM platform that starts with marketing: forms, email, landing pages and a free tier. Teamleader comes from Ghent, Belgium, and starts with the work after the sale: quotes, projects, hours and invoices, with Peppol e-invoicing in every plan. Who brings the customer in, and who sends the invoice? Answer that first.
This page is written for a company that sells into Belgium or the Netherlands, or runs a Belgian entity next to a head office elsewhere. You will see what both cost for 3, 8 and 15 users, where the price per user misleads you, how each handles Belgian e-invoicing, and when to keep both and connect them. VBS sells neither product and is a partner of neither. We do build integrations and custom CRMs, so we see where teams get stuck after a year.
Two products with a different starting point
HubSpot is built around the buyer journey before the sale. Someone reads your blog, fills in a form, receives a sequence of emails and becomes a scored lead. Your sales rep picks it up in the same system. That makes HubSpot strong when customers search online and you want marketing automation without separate tools, and it works the same in every country you sell in. The free tier is genuinely usable for two people; read whether HubSpot is free for what it covers and where it stops.
Teamleader Focus is built around a service business. A branded quote becomes a project once it is signed, your team logs hours against it and the invoice follows. The plans contain no newsletters or marketing campaigns; for that you connect a tool from the Teamleader Marketplace, which lists more than 230 integrations. Teamleader was born in Ghent, has more than 34,000 customers and offices in Ghent and Amsterdam, so its strength is the Belgian and Dutch way of quoting and invoicing.
In short: HubSpot is strongest before the signature, Teamleader after it. A web agency that lives on inbound leads feels at home in HubSpot. An installer, consultancy or IT service firm that writes quotes every week and bills hours finds its day in Teamleader.

Which kind of CRM fits which way of working
Spreadsheet
Fits: A sole trader with a handful of clients a month
- Name, contact, last conversation
- A column with the status
Where it stops: Nobody sees who promised what. Reminders do not exist.
The question to the next step
Do more people work in the same client list, or do you forget follow-ups?
No? Then you stay here.
Light CRM
Fits: A team of two to five who sell together
- Contacts and companies
- A pipeline of deals
- Tasks and reminders
Where it stops: You still make the quote somewhere else and type it over.
The question to the next step
Do you type client details over from your CRM into your quote or invoice?
No? Then you stay here.
CRM with quotes and invoices
Fits: An SME where sales, scheduling and accounts wait on each other
- Quotes from your price list
- Invoices to your accounting
- Permissions per role
Where it stops: Your own way of working only half fits: a step the package does not know, you do on the side.
The question to the next step
Do you do a large part of your work outside the package, in Excel or on paper?
No? Then you stay here.
Custom CRM
Fits: A company with a process no package knows
- Your own steps and fields
- Links to your scheduling, ERP or shop
- A portal for your customers
Where it stops: You maintain it or have it maintained. Choose this only when the previous step really pinches.
An example of a decision path, not a fixed rule. Many companies rightly stay on the second or third step.
The yearly bill of HubSpot vs Teamleader for 3, 8 and 15 users
| Plan, licences per year | 3 users | 8 users | 15 users |
|---|---|---|---|
| HubSpot Starter, offer price €7 | €252 | €672 | not possible, Starter stops at 10 |
| HubSpot Starter, regular price €20 | €720 | €1,920 | not possible |
| HubSpot Professional, €90 | €3,240 plus onboarding | €8,640 plus onboarding | €16,200 plus onboarding |
| Teamleader SMART | €900 | €1,950 | €3,000 |
| Teamleader GROW | €1,188 | €2,592 | €4,020 |
| Teamleader FLOW | €1,620 | €3,510 | €5,400 |
On licences alone, HubSpot Starter is the cheapest for a small team. But compare what you get. Teamleader SMART already includes time tracking, branded documents, invoicing and sending Peppol invoices. HubSpot Starter gives you a sales CRM with marketing tools; check whether you still need a second product for hours, projects and Belgian invoices, and add it before you compare the two columns.
At fifteen users the picture flips. HubSpot Starter is no longer an option, and Professional costs three times as much as Teamleader FLOW, before onboarding. The larger your team, the more Teamleader's discount from the sixth user counts. Every plan is broken down in our guides to Teamleader pricing and HubSpot pricing, and the wider market sits in what a CRM costs.
Where the price per user misleads you
- Teamleader charges a minimum of two usersWorking alone, you pay for two: SMART then costs €50 a month on annual billing. Teamleader calls it the second user for free. Lighter options for a one-person business sit in CRM for sole traders.
- HubSpot Starter stops at ten usersAfter that you move to Professional, more than four times the seat price, plus a mandatory onboarding that HubSpot quotes separately.
- The €7 Starter price is temporaryIt is a 65 percent discount for new customers. Plan your second year on €20 per seat.
- Quarterly billing costs moreTeamleader then charges €30 for SMART, €39 for GROW and €49.50 for FLOW per user. HubSpot also charges more for monthly billing.
- Boosters are not in the per-user priceAt Teamleader, Project management and Planning each cost €35 a month per account, Work orders €20 and a Shared inbox €50.
- AI is counted in creditsHeavy AI users buy Focus AI Pro on top at Teamleader, from €20 a month for 2,000 credits.

Six questions that settle it
- Do your customers mostly come in through your website and campaigns, or through your network and quotes?
- How many people will work in the system a year from now: under ten or more?
- Do you send and receive Peppol invoices from your CRM or from your accounting software?
- Does your team log hours and projects that must end up on the invoice?
- Which accounting software does your accountant use: Exact Online, Yuki, Octopus or something else?
- Do you sell outside Belgium and the Netherlands, in languages and currencies the CRM must handle?
Peppol and the Belgian invoice
Since 1 January 2026, VAT-registered businesses in Belgium must send each other structured electronic invoices, in practice over Peppol. For a foreign company with a Belgian entity, or one that bills Belgian customers from a Belgian VAT number, that turns invoicing into a hard requirement for your CRM. Read whether Peppol is mandatory in Belgium for the rules.
Teamleader sends Peppol invoices in every plan. Receiving comes with GROW, together with automatic payment reminders and subscriptions. For a Belgian service business that is the shortest route: quote, project, invoice and Peppol in one system.
HubSpot can send e-invoices over Peppol, but in Beta and with conditions. Your company is based in Belgium or Germany, you have a connected Stripe account, a VAT number and a Super Admin to switch it on. Your buyer is also in Belgium or Germany and has a tax ID on its company record. Once sent, a Peppol invoice cannot be edited or voided. HubSpot says nothing about receiving, so that runs through your accounting software. Not sure which tool does what? Read which software you need for Peppol.
Running HubSpot and Teamleader together
Many teams do not have to choose. HubSpot carries marketing and first follow-up, often for a group across several countries, while Teamleader takes over in Belgium once a deal is won. Companies, contacts and the won deal then have to move from one system to the other, and the invoice status and payment should flow back.
Three routes, from light to heavy:
| Route | Fits when | What to watch |
|---|---|---|
| A ready-made app from the Teamleader Marketplace or the HubSpot App Marketplace | an app already moves exactly the fields you need | what the app leaves out, and who updates it when one of the two APIs changes |
| A no-code tool: Make, Zapier or n8n, read which of the three fits | you move few records a day and the rules stay simple | a price per task that grows with your volume |
| Your own integration on the public APIs, such as a Teamleader integration | you have your own fields, or want the invoice status and payment back in HubSpot | Teamleader uses OAuth 2 and webhooks, HubSpot its own app registration; we run on your key and log every call |
Start at the lightest row and only move down when it does not cover your process. The API integration explainer covers how that works.
Whichever route you take, decide per field which system is the master. A phone number that can change in both systems ends up as a duplicate contact. Agree that HubSpot owns contact details and email consent, and Teamleader owns quotes, invoices and payments.
A custom CRM when no package covers your process
Sometimes neither fits. You plan drivers, track inspections per device or run a portal where customers upload documents. Then you pay for a package and work around it in Excel. A custom CRM has no price per user, follows your own steps and stays yours. Weigh it in build vs buy, and see what a SaaS subscription costs over five years against a one-off build.
What we built before: for DaTrans a platform that 31 users rely on every day, with releases in 2 to 6 seconds and always a way back. For Business Centrum a platform that replaces their Excel, with 2FA per user and a daily backup, tested locally on their real file with 309 employers.
HubSpot or Teamleader, the recurring questions
Is HubSpot cheaper than Teamleader?
For three users on licences alone, yes: HubSpot Starter costs €720 a year at the regular price, Teamleader SMART €900. But SMART already includes hours, invoicing and Peppol. At fifteen users Teamleader is far cheaper, because HubSpot Starter stops at ten.
Can you connect HubSpot and Teamleader?
Yes. Both have a public API. Look first for an existing app in their marketplaces, then at Make, Zapier or n8n, and for an integration that follows your exact fields and steps, at a custom one.
Which one handles Belgian Peppol invoicing better?
Teamleader. Sending is in every plan, receiving from GROW. HubSpot sends Peppol invoices in Beta, only with a Stripe account and for buyers in Belgium or Germany.
What if my team grows past ten?
At HubSpot you move from Starter to Professional, at €90 per seat plus onboarding. At Teamleader you pay roughly half for every extra person from the sixth user.
Can I move from HubSpot to Teamleader, or the other way round?
Contacts and companies export as CSV and import into the other product. Notes, emails and deal history move less easily. A migration script over the API carries them across, or you keep an export as an archive.
