AI for self employed sole traders: the model drafts, you decide

You are the owner, the sales team and the bookkeeper at once. AI for the self employed takes the first draft: the reply, the quote, the receipt that needs a category. You read it, change what is wrong and press send.

Four jobs you can hand over this week

AI for self employed people is not about robots or big projects. It is about the work that eats your evenings: answering email, typing up quotes, sorting receipts and writing something for your website or socials. A language model such as Claude, Gemini or ChatGPT turns each of those into a first draft in seconds. The decision, the price and the signature stay with you.

This page shows what a business of one can actually do with it today, what the subscriptions cost, where the limits are, and when it pays to have a fixed automation built instead of copying and pasting yourself. There is a worked example week in it, as an example and without any promise about time or money saved.

If you run a team with its own company data, AI for business is the broader route. If you first want the CRM side sorted, read CRM for sole traders.

Your inbox: sorted, with a first reply

Most sole traders get the same kinds of email every day: a request for a quote, a question about an invoice, someone moving an appointment, and a pile of sales pitches. AI can read those messages, put them into groups and draft a reply to every real question in your own tone. You read it, change a sentence and send.

You can start today without any setup: paste an email into an AI chat and ask for a short reply, adding your own rules such as the area you cover, when you are free and your day rate. How to phrase that request well is explained under prompt. If you want it to happen every morning on its own, with your mailbox connected and the replies waiting as drafts, that is a small automation. What that involves is on AI automation.

What you do not hand over: sending an email without reading it. A model does not know your diary, does not know you agreed something different with that client last month, and can invent a price that does not exist.

Quotes from a photo or a voice note

A decorator, a photographer or a gardener sees the job on site first. You take a few photos and record a note: living room four by five metres, ceiling included, two coats, old wallpaper to strip. Give the model your own price list and it turns that into a draft quote with lines, quantities and your unit prices. You check the measurements, the prices and anything that should not be there.

The unit prices always come from you, never from the model. How AI quoting works in more detail, with examples, is in AI quote generator.

  • The invoice is ready before you leaveHours and materials go from the job sheet to your invoicing. No typing up in the evening.
  • Every job keeps its photosBefore and after, with the address. Useful when the customer rings later, or when you ask for a review.
  • Extra work is agreedThe customer signs on your phone, so the invoice holds no surprises.

An example of what we can build, with made-up names and addresses. You choose which fields a job sheet has.

Getting your books ready for Making Tax Digital

Making Tax Digital for Income Tax reaches sole traders in three steps. Under MTD you keep digital records and send quarterly updates through software HMRC recognises, and the tax return itself is still due by 31 January.

You use MTD fromWhen qualifying income is overMeasured in tax year
6 April 2026£50,0002024 to 2025
6 April 2027£30,0002025 to 2026
6 April 2028£20,0002026 to 2027

This is where AI helps with the groundwork, not the filing. A model can read photos of receipts and supplier invoices and pull out the date, the supplier, the amount and the VAT, then suggest a category. That list goes into your bookkeeping app, and the quarterly update goes from software on HMRC's list. If you are VAT registered, which is required once your taxable turnover passes £90,000 in twelve months, the same care applies to every VAT figure the model reads.

The bookkeeping and the submission stay with you, your accountant or your bookkeeping app. AI prepares, a person decides. How reading invoices with AI works, and where it goes wrong, is in invoice automation.

Words for your website and your socials

A project page, a post about a finished job, the text for your Google profile: AI writes a first version from your notes and photos. What it cannot know is what you actually did. Add the facts yourself, cut anything that promises too much and use your own photos. A site built on real jobs is covered in web design for freelancers.

For the questions that keep coming back you can also build an assistant of your own with your rules in it; see custom ChatGPT for business and AI customer service.

An example week for a self employed decorator

  1. MondayFourteen emails since FridayAn example with made-up situations. Assumptions: one person, one paid AI subscription, no link to other software. He pastes the emails into the chat one by one and asks for a group and a short reply. Three replies go out almost as written; one he changes because the client already had a discount last month.
  2. TuesdayThree photos and a voice noteOn site he photographs a living room and records the measurements. In the evening the model uses his price list to draft a quote. He corrects one wall area and removes a line that does not belong.
  3. WednesdayReceipts from the paint shopPhotos of five receipts go to the model, which puts date, shop, amount and VAT in a list with a suggested category. He checks it and adds it to his bookkeeping app.
  4. ThursdayA post about a finished staircaseFrom two photos and three sentences the model drafts a short post and a project page. He deletes 'the finest staircase in the county' and adds the real colour name.
  5. FridayTwo quotes with no replyHe asks for a friendly follow-up for both clients, changes the greeting and sends them himself. The example shows how the work shifts, not how much time or money it saves.

Which subscription suits a business of one

For a sole trader a personal subscription is almost always enough. The free versions are fine for trying things out but limit how much you can do in a day. The monthly prices per plan:

SubscriptionPrice per monthSuits
Claude Free$0trying it, the odd email
Claude Pro$17 billed yearly ($200 up front), $20 monthlydaily writing
Claude Maxfrom $100very heavy use
Claude Team$20 per seat yearly, $25 monthlyteams of 2 to 150, so not for one person

Google sells AI Plus, AI Pro and AI Ultra as monthly plans you can cancel at any time; check the price for your country on Google's subscription page. What ChatGPT costs is tracked in ChatGPT pricing, how it compares with Microsoft Copilot in ChatGPT or Copilot, and Claude's plans in Claude pricing.

Worked example, with assumptions: one person, one subscription, no automation. Claude Pro billed yearly costs $200 a year. If you want to work out what AI costs per task when it runs through an integration instead of a subscription, use the AI cost calculator.

Choose by where you already work. If your email and calendar live with Google, a Google plan is the obvious first try. If you mostly write long texts and quotes, test Claude and ChatGPT side by side on a real job.

Limits: UK GDPR, the EU AI Act and mistakes

Data protection. Pasting a client's email into an AI tool means processing personal data, so UK GDPR applies. The ICO's guidance on AI and data protection asks you to be accountable for that processing, to be open with people about it and, where the risk is high, to carry out a data protection impact assessment. Check what the provider does with what you type and whether there is a data processing agreement. Keep National Insurance numbers, health details and card details out of an ordinary chat. More on that in is ChatGPT safe for business.

The EU AI Act. It is EU law, not UK law, but it can matter if you work for clients in the EU. Its AI literacy duty has applied since 2 February 2025 and its transparency rules from August 2026. What that asks of a business is in AI literacy requirement and EU AI Act for business; a quick first check is the EU AI Act checker.

Mistakes. A model always sounds sure, even when it is wrong. It can misread a measurement, invent a VAT rate or mix up two names. That is called AI hallucination. So read every figure, every name and every price before anything leaves your business.

A chat window or a set-up automation

Start in the chat. Once you notice you copy and paste the same thing every day, that job is ready to automate.

When to have something set up for you

As long as you run an email or a quote through a chat a few times a week, you need nobody. It tips when the job comes back every day, when you have three programs open to write one quote, or when your client list lives in a different system from your email. Then a small automation that ties the mailbox, your software and the model together starts to pay.

We build those links on the public API of your software, with your own key or app registration, at a fixed price per project after a conversation. Growing towards a small team? Look at custom software for small business. Does your work follow rules no package knows? Then custom software comes into view. And if you would rather talk it through first, get in touch.

AI for business

How VBS helps you with this

We build AI into your own work: it drafts emails, reads documents and answers questions, and you stay the one who decides.

  • First a task that costs time, then a working prototype
  • On your own documents and your own data
  • An AI policy your team understands

How we approach it is on our page about AI for business.
