Beauty salon software for UK salons, built around rooms and consultations

A beauty salon sells time in a treatment room, and trust. We build the consultation forms, the courses, the vouchers and the room planning your booking app leaves out or only half does.

Treatment rooms run the day, not the clock

Beauty salon software in the UK has to know that a facial takes an hour, a full leg wax forty minutes and gel polish forty-five, and that a room needs a few minutes after a massage before the next client. It also has to know what the client said last time: that her skin went red after waxing, that she uses a retinol cream, that she reacts to fragrance.

Most salons already book through an app, and for the diary that is fine. The time goes on what sits beside it: the paper consultation in a folder, the course of six waxes ticked off on a card, the gift voucher nobody can date, the hen party of four that lands on a Saturday.

Below is what we can build for each part of the week, which rules a UK salon meets in its software, and how much system suits a home salon or a salon with three rooms. If you mainly want a site that brings in bookings, read our page on beauty salon websites.

The hours that go missing between treatments

Therapists lose little time on the couch. It goes before and after: on the phone, at reception, looking up a form and in the evening when tomorrow needs moving around.

MomentWhat usually happensWith your own software
A new client arrivesShe fills in a paper form at reception, the treatment starts lateShe fills it in at home, the form is in the room
A regular books againNobody remembers how her skin reactedThe form shows what was used and what was noticed
A course visitA stamp on a card the client forgotThe course counts down and shows its end date
Someone pays with a voucherChecking a notebook to see if it is still validScan the code, balance and expiry on screen
A hen party booksJuggling rooms and colleaguesThe board finds a time when two therapists are free

Not every moment needs software. A home salon with loyal regulars manages fine with online booking and a good consultation form. The more rooms and therapists, the more the board and the courses pay back.

Thursday on the phone, with the form of the client on the couch

  • The consultation is ready before the treatmentWhat the client fills in at home sits on the form. Allergies, pregnancy and medication are asked again before a new treatment.
  • A course counts downYou see how many visits are left and when the course ends before you book the next one.
  • A gift voucher has an end dateEach voucher gets a code and an expiry the buyer sees at purchase. The till shows what is left on it.

An example of what we can build, with made-up clients. You choose which questions the consultation asks.

Consultation forms that travel to the room

The consultation form is the most important paper in a salon and often the worst kept. Pregnancy, medication, allergies, sensitive skin, a course of retinol: what a client writes decides which treatment is safe and which is not. Asking again before each new treatment, and keeping the answer, makes the work safer and quicker.

On the form we build, the client answers at home through a link in her booking confirmation. You choose the questions per treatment: waxing asks different things from a peel. The answers are on the card before she arrives, with the date she confirmed them. Next time the app asks whether anything has changed, instead of the whole form again.

Contraindications are health data, which UK GDPR treats as special category data: ask only what the treatment needs, say why, and get clear consent. The software keeps that consent with its date, and only the therapist who treats sees the form. What you keep belongs in your privacy policy, and where UK and EU rules differ is in UK GDPR vs EU GDPR.

A consultation becomes a note for the therapist

An example of what we can build, with a made-up client. The AI reads only your own consultation, you decide on the treatment.

AI reads the form, the therapist decides

Nobody reads twenty answers between two clients. AI can turn them into a short note for whoever treats: which treatment fits, what to watch, what to skip this time. On retinol, the note says no peel and no facial waxing. Reacts to fragrance, it lists the products to avoid.

It decides nothing. It suggests, the therapist reads and chooses. The same works for the questions that come in at night through Instagram or the contact form: how much is a facial, can you do Saturday, can I have a wax while pregnant? The AI drafts a reply with the right length from your price list and a free slot from the diary, and you send it. What we build reads only your own data. More in AI customer service and AI automation.

What UK rules ask of a beauty salon's software

Beauty is regulated by place and by treatment in the UK, and a few rules belong in the system.

SituationWhat the rule asksWhat the software does
A salon in LondonMassage, manicure and similar special treatments need a licence from the borough under the London Local Authorities Act 1991Licence number and renewal date per site, with a reminder
Electrolysis, piercing or semi-permanent make-up outside LondonRegistration with the council under the Local Government (Miscellaneous Provisions) Act 1982The registration per therapist and per treatment, so only they can be booked for it
Allergies on the consultationHealth data is special category data under UK GDPRA separate field with consent and date, seen only by the therapist
BotoxA prescription-only medicine; the CAP Code bans advertising it to the publicKept out of your public price list and your adverts
Fillers and other non-surgical cosmeticsA licensing scheme in England has been announced but is not yet in forceA field per therapist ready for a licence when the scheme starts
Selling gift vouchersNo legal minimum expiry in England and Wales; make the expiry clear at saleA code and an end date on each voucher, balance at the till
Turnover near £90,000VAT registration once taxable turnover over 12 months passes £90,000Rolling 12-month turnover on one report

Which treatments your council licenses differs from borough to borough. Check with yours before you sell a new treatment online.

A group of four without a double-booked room

The board spots a problem

On Saturday a group of four books manicures at 2pm with Maisie, but Maisie is still doing a facial in room 2 then.

The board moves the group to 3pm and adds Elise at the nail station, so two manicures run side by side.

Sorted: Group to 3pm

An example of what we can build, with made-up names. You decide when a treatment turns red on the board.

Rooms, therapists and the hen party on Saturday

In a salon the room is as scarce as the therapist. A massage needs the big room, a facial the couch with the lamp, a manicure the nail station. The board we build plans people and rooms together: a booking only gets a time when a therapist and a room are free.

That matters most for groups. A hen party or a mother with three daughters wants the same time, or one after the other. The board finds the first time with enough people and places free, and suggests it. A therapist on a training day or with Wednesdays off is never booked in.

A rota that lives in a spreadsheet usually moves into the board: see spreadsheet scheduling or planning software and staff scheduling software.

Off-the-shelf salon software or a layer built for you

Both can work, and often they run side by side. The difference is in who owns the client and how well the system knows your salon.

Money taken now for treatments later

  1. Courses that count down

A course of six waxes or facials counts down at each visit and shows its end date, on the form and in the client's confirmation.

  2. Gift vouchers with an expiry

Each voucher gets a code and an end date the buyer sees at purchase. Sold online, it is emailed straight to the person it is for.

  3. Memberships that renew

A monthly facial paid by direct debit or card, with the visit already in the diary and a reminder if it goes unused.

  4. A loyalty card on the phone

Points per visit or per pound, and a reward ready without a stack of paper cards.

Found for the treatment, not only for the salon

People rarely search just for a beauty salon. They type facial for sensitive skin Bath, leg wax Widcombe, gel nails Combe Down. A salon with a page per treatment, with its length, a from price and what to expect, ranks higher on those searches than a site with the price list as a PDF.

The map matters as much. A Google Business Profile with the right category, your opening hours, photos of your rooms and reviews that keep coming. A link that takes clients straight to your reviews can go in every booking confirmation, and more is in our guide to getting more Google reviews. For search as a whole there is local SEO; Instagram stays your shop window, and social media management keeps it going without posting every night.

Vouchers sell best before Christmas and Mother's Day. Selling them online, with an email the buyer can forward, brings in that money while the salon is closed. How a booking module with a length per treatment works is on our page on a booking system for your website.

Hiring a Level 3 beauty therapist

An example of what we can build, with made-up names. You choose what you ask.

Hiring through the same phone your clients use

Good therapists look for work the way clients look for a salon: on the phone, in the evening, on Instagram and through the college where they trained. An application that asks for a CV loses them. A therapist shows her work in photos, so we ask for a link, a mobile number and a good time to call. A trade test goes into the same board as your bookings.

How much system your salon needs

A home salon does not need a room board. A salon with a nail bar and two sites needs more than a diary.

SizeWhat we buildWhat we leave out
Home salon, one roomSite with booking per treatment, consultation at home, remindersA till of your own; your card reader is enough
Salon with two to four roomsRoom board, courses, vouchers onlineAn app in the stores; a web app on the phone is enough
Salon with a nail bar and groupsGroup bookings, loyalty card, retail stockA third-party loyalty platform
Two sitesClients and courses across both sitesAn ERP; a link to your accounts is enough

What you already use stays connected through an integration: your accounts, your card reader or the app you want to keep. Retail stock such as serums and creams can be counted the way we describe under inventory management software.

Finding and typing up consultations8 times 5 minutes40
Empty room after a no-showOnce, 60 minutes60
Checking courses and vouchersOnce30

Together 220 minutes, almost four hours a week. Software does not remove all of it: some clients will keep ringing. What is left is more than one extra treatment per therapist per week. Work out your own case with the software development cost calculator or read what custom software costs.

Three steps from an ordinary Thursday

  1. A conversation about your weekHow clients book now, where the consultation forms are, which courses you sell, where the time goes. We look at an ordinary week, not a list of features.
  2. A fixed price per projectWe pick the part that costs the most time and give it a fixed price. A website starts from 1,500 euros; software is priced after the conversation.
  3. One therapist uses it firstA therapist works with the first version for a few weeks with real clients. What does not fit is changed before the rest of the salon follows. Client cards and code belong to the salon.

We have not built for a beauty salon yet; we did build booking calendars with live availability for Villa Lidia and No.4 Lange Ast, and a diary per treatment room works the same way.

Beauty salon owners ask us

Do I have to give up my booking app?

No, not if it works. We build what it lacks, such as consultation forms per treatment, courses that count down or vouchers sold online, and link it where the app allows. If the app gets in the way, we build a diary of your own.

Can I keep consultation forms digitally?

Yes, if you ask only what the treatment needs, explain why and get clear consent. It is health data. The software keeps the consent with its date and shows the form only to the therapist who treats.

Do I need a licence to run a beauty salon?

In London, many treatments need a special treatment licence from your borough. Outside London, electrolysis, piercing and semi-permanent make-up need registration with your council. Check with your council for each treatment you offer.

What does beauty salon software cost?

A website starts from 1,500 euros. Software such as your own diary, consultation forms per treatment or courses and vouchers gets a fixed price per project after a conversation. Get in touch with a description of your salon and your week.
