Industry: plumbers
Small plumbing business software for weeks that never go to plan
Job sheets on the phone, a planning board that makes room for a burst pipe, and landlord gas safety checks that book themselves before the record runs out.

Small plumbing business software has to survive Tuesday morning
Small plumbing business software earns its keep on the day a burst pipe in Clevedon lands on top of a gas safety check in Portishead, a bathroom refit in Nailsea and a quote visit in Keynsham. That is most days. Planned work and call-outs share the same five engineers, and every call-out pushes something else.
Many plumbing and heating firms still run on a diary in the owner's phone, carbon-copy job sheets in the van, a spreadsheet of landlords whose gas safety records run out, and WhatsApp for everything else. It holds until the first emergency. Then a service slips, nobody texts the customer, and the expansion vessel fitted on Tuesday never reaches the invoice.
This page sets out where a plumbing week goes wrong, what your own system takes over at each point, which rules belong inside it and what it is worth, worked out for a team of five around Bristol. Every screen is an example with made-up names.
A burst pipe on Tuesday moves a gas check to Thursday
Emergency on Tuesday
At 10:00 on Tuesday a pipe bursts in a kitchen in Nailsea. Sam is closest, but he is booked for a landlord gas safety check in Clevedon.
The current record runs out in nine days, so the check can move. The board sends Sam to the burst pipe, books the check for Thursday and texts the tenant.

Where a plumbing week goes wrong
Four places, and in most firms all four live in one person's head.
The day itself
Who takes the leak, what moves, and who tells the customer whose service just moved? Without a board, that happens on the phone, often from under a sink. A staff scheduling system that knows your rules makes the call in seconds.
The job sheet
A paper sheet forgets the extra parts, the before and after photos and the signature. On Friday someone retypes it for the invoice, and what is not on the sheet is not billed. A work order app puts all of it on the phone.
Being found
A landlord with three flats or a tenant with water through the ceiling searches on a phone and rings the first firm they trust. A full Google Business Profile and steady reviews decide whether that is you.
People
Gas Safe registered engineers are hard to find. A vacancy that works in three taps on a phone brings in more applicants than a PDF on a job board, and the office can see where each one stands.
Sam's job sheet for a landlord gas safety check
- The office sees the job sheet at onceHours, parts and extras are ready for the invoice. Nobody types up paper sheets.
- The tenant gets the recordA copy goes out by email well inside the 28 days the landlord has to hand it over.
- Next year's check is bookedThe check is due every 12 months. The system reminds the landlord before the record runs out.

Plumbing business software that knows the trade
A planning board only helps if it knows the rules of your trade. For a plumbing and heating firm there are a handful, and today they sit in the head of whoever does the planning.
- Call-outs go first, but not everything can moveA bathroom where the tiler arrives tomorrow stays put. A gas safety check whose record still has three weeks to run can move.
- Who may touch a gas applianceGas work is for a Gas Safe registered engineer only. The board holds each engineer's registration and only offers gas jobs to those who have it.
- Multi-day jobsA bathroom refit takes an engineer out for a week. The board shows those blocks, so call-outs go to the others.
- TravelKeynsham to Clevedon and back twice in a day easily costs an hour of driving.
Hours per job feed a time tracking app, and if you work on sites for a builder, the board lines up with construction scheduling software. What sits in each van follows inventory management: a scan puts the expansion vessel on the job sheet and a warning comes before the compression fittings run out.
That is also where software for plumbers usually falls short off the shelf. Invoicing software for plumbers should start from the job sheet, not from a blank form: hours, parts and the extra work go straight onto the invoice, and the invoice goes to your accounts package or out as an e-invoice. How that works in the UK is in e-invoicing in the UK. For installers in general, with service contracts and certificates, see software for installers.
A landlord in Portishead looks for a plumber
New request
Three flats, gas safety records run out in March, one visit if possible
Mark, landlord, Portishead, today 21:40
- A page per service and per town you cover
- A Google profile with photos of real jobs
- A form that asks for a photo and the address
Example with made-up businesses and reviews.
Found by landlords and tenants in your own towns
A plumber lives off a patch. Someone who types "plumber portishead" or "blocked drain keynsham" wants a firm nearby, today. Your website has one job: show that you work there, what you do and how quickly you come.
That takes three things. A site with a page per service (leaks, blocked drains, boiler servicing, landlord gas safety checks, bathrooms) and per town you really cover; we build those from 1,500 euro, see web design for plumbers. A Google profile filled in properly, with the right category and photos of real jobs. And reviews that keep coming in: how to get more Google reviews shows how to ask without breaking Google's rules. Search for your own towns is covered in SEO for plumbers.
The form on that site is the start of the job sheet: the address, a photo of the leak or of the boiler's data plate, and a preferred time. Nobody rings back to ask what is wrong, and the engineer knows which part to bring.

Quoting software for plumbers, with AI kept in its lane
An app for the engineer in the van has to be quick: open the job, take the photos, tick the parts, get the signature. Anything that takes longer than a minute does not get filled in under a floor. AI comes in at three points where it really saves time.
- Quotes from photosA customer sends three photos of an old boiler. AI drafts a first quote from your own items; you adjust and send. More on the AI quote generator, and a starting layout in the quote template.
- A voice note becomes a reportThe engineer says what he did, AI fills in the job sheet and lists the parts. The whole picture is on AI for plumbers.
- Sorting messagesAn emergency goes to the top, a question about an invoice goes to the office. That is AI customer service.
AI decides nothing about a gas appliance. The registered engineer signs the record, you set the price, and no quote leaves until someone has checked it.
The rules your system has to know
A plumbing and heating firm keeps deadlines for its customers and puts rates on invoices that depend on the rules. Your system should know them, so nobody has to remember.
| Situation | What the rule asks | What the software does |
|---|---|---|
| Gas work of any kind | Only a Gas Safe registered engineer may do it | Each engineer's registration is on file; gas jobs only go to them |
| Landlord gas safety check | Every 12 months; a copy to each tenant within 28 days, and to new tenants before they move in | Each landlord's next check is booked automatically, and the record goes out to tenants |
| Landlord records | Kept for 2 years | Every record stays with the property and can be found in seconds |
| Booking the check early | Up to 2 months before the deadline without losing the original expiry date | The board uses that window to fit checks around call-outs |
| Heat pump through the Boiler Upgrade Scheme | 7,500 GBP towards an air-to-water or ground source heat pump, only with an MCS certified installer | The quote shows the grant and the MCS details |
| VAT on energy-saving materials | 0 % until 31 March 2027, then 5 % from 1 April 2027 | The invoice applies the right rate on the job's date |
The last two only matter if you also fit heat pumps; that has its own page for heat pump installers. The gas rules are the ones a small firm most often tracks in a spreadsheet that one person keeps up to date.
What fits the size of your firm
No ERP for a small firm: it costs more than it returns and nobody fills it in. This is what we recommend at each size.
- A sole trader with one vanYou do not need your own system. A good invoicing package, a diary on your phone and a website with a request form carry the business. Keep the rest simple.
- A team of fiveHere your own job sheet and planning board pay off: five people, call-outs and services mixed, and one person in the office. Start with the job sheet and the board.
- A firm of 20 to 50Several teams, a store, contracts with letting agents and landlords, and a full-time planner. Stock, contracts and a client portal for landlords belong in it.
- A larger companyYou already have accounts software and perhaps an ERP. We build what is missing and connect it to what is there, as custom software.
Five engineers and 550 boilers a year
Take a plumbing and heating firm with five engineers, one person in the office, 300 landlord gas safety checks and 250 boiler service contracts a year.
| Task per week | Paper, spreadsheet and WhatsApp | Your own system |
|---|---|---|
| Retyping 60 job sheets for invoices | 6 hours | 1 hour |
| Booking 12 checks and services | 2.5 hours | 0.5 hours |
| Rescheduling after call-outs and texting customers | 3 hours | 1 hour |
| Sending records to landlords and finding old ones | 1.5 hours | 0.2 hours |
| Total | 13 hours | 2.7 hours |
That is 10.3 hours a week, or 473.8 hours over 46 weeks. At 25 GBP: 473.8 x 25 = 11,845 GBP a year. Then there is the extra work that never reaches an invoice. Say it happens twice a week at 45 GBP each: 2 x 45 x 46 = 4,140 GBP. Together 15,985 GBP a year.
A package charges per user per month and can be enough for a team of five; Teamleader alternatives compares a few. Your own system pays off when your contracts, records and board work differently from what the package assumes.
The first month starts with the job sheet
After a conversation you get a fixed price per project. You own the code and the data.
- A morning in your firmWe watch how a call comes in, who plans, what goes on a sheet and where the landlords and boilers are kept. You get a plan with what comes first.
- The job sheet on the phoneThe first engineers use the app on real jobs. Customers, properties and appliances come in from your spreadsheet or package; how that move goes is in replacing Excel with software.
- Board and contractsThe board with call-outs, registrations and multi-day jobs, and the contracts that book their own next visit.
- Invoices and connectionsHours and parts go to your accounts package. After that, one module at a time, when you want it.
Earlier work outside the trade
We have no plumbing firm as a client yet; we did build the management platform for Business Centrum, the DA Logistics platform with a planning board in daily use, and 8 client websites.
Plumbers also ask us
Does the job sheet work without signal in a basement?
We build it that way: the sheet is saved on the phone and sends as soon as there is signal again. Photos of a leak under a floor are not lost.
Can we bring our landlords and boilers over from a spreadsheet?
Yes. We import customers, properties, appliances and the date of the last check, with a list of what is duplicated or missing. From then on the system works out when each property is due again.
What does plumbing business software cost if it is built for us?
That depends on what you want first: a job sheet, a board, contracts or all three. After a conversation you get a fixed price per project. List what you need before we talk, and start with the part that costs you the most hours.
Is a website enough on its own?
For a sole trader, often yes. Websites from 1,500 euro, with a page per service and town and a form that asks for a photo. Software comes when the team grows. Electricians have their own page: software for electricians.
