Software for landscapers

Quoting software for landscapers that prices the way you do

Line items with sub-base and waste attached, quantities from a drawing or three photos, an order for the nursery and job costing that shows what each garden really cost.

Quoting software for a landscaper: a front garden in photos with the lines for removing a hedge, a block-paved drive, hornbeam hedging, turf and a border drafted, labelled as an example with demo data

Estimating a garden means many small lines

Quoting software for landscapers has to know more than hours and materials. A patio is square metres of slabs, but also a depth of MOT type 1, edging, the dig and the muck away. A hedge is linear metres, plants per metre and topsoil. Anyone who works that out afresh in a spreadsheet for every quote does it at night and now and then forgets the waste.

This page is about estimating: how estimating software for landscapers should calculate, what AI can draft and how you see whether a garden made what you expected. The full picture, with rounds, job sheets and planning, is on software for landscapers. We build the estimate round your own way of pricing, as custom software.

Three photos and a sketch, the lines are drafted

An example: the AI works from your own price list and plant list, you decide.

Line items that follow how a garden is built

Good quoting software works in the units you work in, and attaches to each line what always comes with it. You cannot forget the sub-base under a drive, because it is part of the line.

LineUnitWhat comes with it automatically
Patio or drivem2Dig out, MOT type 1 at your depth, edging per linear metre, muck away
New hedgelinear metrePlants per metre by your rule, topsoil, planting, posts or wire if needed
Remove hedgelinear metreGrub out roots, green waste away, level
Lawnm2Rotavate or strip, topsoil, seed or turf, first cut
Perennial borderm2Plants per m2 by variety, compost, mulch
TreeseachSize, pit, stake and tie, watering through the first summer
Wastetonne, load or skipGreen waste, soil and hardcore priced apart

The quantities and rules are yours: plants per metre, sub-base depth under a drive, the waste allowance on slabs. The software remembers and applies them. You adjust where a garden is different.

Rules the estimate keeps for you

  1. Build-ups per line

A drive is never just blocks. Sub-base, edging, dig and waste come along every time, at your rates.

  2. Supplier prices in one place

When the nursery or the stone merchant puts prices up, you change them once and every new quote follows.

  3. Waste by the load

Soil, green waste and hardcore each have their own price per tonne, load or skip, so muck away never gets guessed.

  4. Hours per unit

Hours per m2 of patio or per metre of hedge, adjusted each season from what the job sheets showed.

  5. Assumptions in writing

Sub-base depth, no buried rubble, access for the digger: what you assumed goes into the quote, so extras later can be explained.

A planting list the nursery can read

The lines produce the planting list: variety, size, quantity, and the delivery per job. The list goes to the nursery as an order, and on delivery you tick off what arrived. You see at once that ten hornbeams are missing, before the crew is on site.

The same goes for slabs and aggregate: the estimate knows how much is needed, the order follows from it, and whatever is left on site goes back to the yard. If you keep plants and materials in stock, link that to inventory management software.

A template is enough for a sole trader with a few quotes a month. A firm that quotes every week gains from an estimate that knows its own rules.

AI drafts, the landscaper decides

A customer sends three photos of their front garden and a sketch of what they want. AI reads the images and drafts a first version: 14 m of hedge to remove, 42 m2 of block paving, 70 hornbeams, 85 m2 of turf, a 12 m2 border. With your prices and your rules. A garden designer's drawing works the same way, with the dimensions taken from the drawing.

What AI does not do: measure up, judge the ground or work out access for the mini digger. That stays the site visit. Then you adjust the quantities and the quote goes out. You win back the time that now goes into typing and sums. More on how that works on AI quote generator and AI for construction.

Options the customer ticks

A garden quote nearly always has a core and some wishes: the build itself, then lighting along the path, irrigation in the border, a shed base or a bigger tree. In a spreadsheet that becomes three versions of the same quote. In your own estimating software they are options under the core, each with its own price.

The customer gets a quote they open online and can tick options on or off; the total updates. When they sign, the job sheet shows exactly what they chose. That avoids the conversation on site about what was agreed, and it shows you which options customers take and which never sell. After a season you know, for example, whether irrigation sells better on new builds than on existing gardens. A quote the customer opens and signs online fits in a client portal.

If you work in phases, such as the hard landscaping this spring and the planting in autumn, the quote splits by phase, each with its own deposit and invoice. The board then sees two jobs at two moments, not one big job left open for months.

An accepted quote landing on the board

Clash on Tuesday

The tipper is booked twice on Tuesday: bringing in sub-base for the patio in Cheltenham and taking away the hedge cuttings in Prestbury.

The tipper is free on Wednesday. The board swaps Lucy's round: mowing with no waste on Tuesday, the hedges on Wednesday, and the client in Prestbury gets a text.

Job costing per garden: did the patio pay?

Most landscapers know what they made in a year, but not on which garden. Quoting software tied to the job sheet can tell you. The crew logs hours and materials on the phone, and after handover the software puts that next to the quote.

LineQuoteJob sheetDifference
Hours laying the patio48 hours56 hours8 hours over
MOT type 16 tonnes7 tonnes1 tonne over
Porcelain slabs38 m238 m2the same
Soil away2 loads3 loads1 load over

These are demo figures, but the pattern is real: firms that never see their job costing underestimate the same lines every time. After a season you adjust your rules, such as more hours per m2 on a patio with a lot of cutting. The margin calculator shows what a gap like that does to your profit. The job sheet itself is covered in the work order app; how the job lands on the board, in construction scheduling software.

Maintenance priced per visit and per year

A maintenance contract is a different estimate from a build. You price per visit, per garden, and the customer pays per visit or per year. The software works out what a contract is worth and what it asks of your crew.

VisitHow often a yearWhat the price rests on
MowingWeekly or fortnightly in season, your choiceArea, access, clippings collected or not
Hedge cuttingOnce or twiceLinear metres and height, arisings away
Leaf clearanceOnce or twice in autumnArea and number of trees
Weeding hard surfacesA few timesArea, method

Once the visits are in, the round follows and you can see per crew how many hours are already sold before the year starts. If weed control uses professional products, the person doing it needs a pesticide certificate; the rules are on software for landscapers.

CIS, MTD and the invoice that follows the job

The accepted quote becomes a job sheet and the job sheet an invoice, including the extra work the customer signed for. Two UK rules decide what happens to that invoice.

RuleWhat it means for a quoteWhat the software does
CISIf you work as a subcontractor for a contractor and the work falls under CIS, the contractor deducts 20% when you are registered and 30% when you are notA CIS flag per customer, with the deduction shown on the invoice and in your cash flow; check with the contractor whether your work falls under it
Making Tax DigitalSole traders with qualifying income over £50,000 keep digital records and send quarterly updates from 6 April 2026; over £30,000 from 2027Quotes, job sheets and invoices form the digital record the updates are built from

Invoicing in the UK is covered in e-invoicing in the UK; invoices that write themselves from the job sheet in invoice automation. If you want to start with a template, there is a quote template.

That is 30 hours across two months, just when you are also pruning and planting. In this example the accepted quotes are no higher or lower: the gain is in time and in the lines you no longer forget. Building the estimate from last year's quotes

  1. Ten quotes from last yearWe read ten of them, with the real hours if you have them. From those we take your lines, units and rules.
  2. A fixed priceAfter the conversation you get a fixed price for the estimating, with or without job sheets and planning. A website with an enquiry form starts at EUR 1,500; software is priced after the conversation.
  3. Quote both waysFor a few weeks you price every quote both ways. Where the totals differ, we find out why and adjust the rule.
  4. Only the new wayOnce the estimate is right, the spreadsheet goes. Job costing runs per garden from then on.

Other trades estimate differently

Every trade prices differently. For joiners there is joinery quoting software, for decorators painting and decorating estimating software, and for building firms in general software for construction companies. If enquiries come through your own site with the plan and photos attached, the estimate starts at the form: see landscaping website design. Want to show us your own quotes? Get in touch.
