Retool alternatives: another builder, or your own tool?

Retool is quick for a first internal tool. Once more people use it every day, the price per user and the limits of the building blocks start to count. Here are the alternatives, including the one nobody sells as a platform.

The best Retool alternative depends on why you want to leave. If the price per user is the reason, look at Appsmith, Budibase or ToolJet: all three have a free open source edition you can host yourself. If the reason is that the tool has become the daily work of a large team, with people on the road and a process that no table component fits, then a custom web app is the logical next step. It costs a build price instead of a monthly fee per person, and nothing in it is limited by what a builder offers.

Retool and its alternatives are low-code platforms: you drag screens together on top of your data and write code where the blocks stop. That is fast for a first version. The question is what happens in year two.

Retool against a custom web app

For a team with 2 people who build and 25 who use the tools every day.

Licence
RetoolPer builder and per internal user, every month
Custom web appNo licence per user, a build price plus hosting
Example per year
RetoolAbout 1,716 euros on Team, about 5,304 euros on Business, billed yearly
Custom web appHosting and maintenance, the same for 25 or 250 users
Screens
RetoolRetool's components, with code where they stop
Custom web appBuilt around the task, on desktop and phone
People without a work email
RetoolA user account each, on the plan's terms
Custom web appSign in with a link by text or a name tile with a code
Who can change it
RetoolAnyone on your team who knows Retool
Custom web appA developer, in the code that belongs to you

For a handful of admin screens used by a few people, Retool wins on speed. Once dozens of people work in it daily, the licence grows with every hire, and the tool starts to feel like a set of tables instead of an application. That is the point where building it pays off.

Why teams look for a Retool alternative

The price grows with the team. Retool charges per builder and per internal user. In euros, the Team plan costs 9 euros per builder and 5 euros per internal user per month on yearly billing; the Business plan costs 46 and 14 euros. For 2 builders and 25 users that is about 1,716 euros a year on Team and about 5,304 euros on Business. Every new colleague adds to it.

The building blocks set the limits. Tables, forms and buttons get you far. A planning board you drag trips across, a screen a driver uses with gloves on, a flow that differs per customer: there you write more and more code inside the builder, and the advantage of low-code shrinks.

The tool lives on someone else's platform. Your logic sits in Retool's format. If you leave, you rebuild the screens. That is not a reason to avoid Retool, but it is worth knowing before a tool becomes critical.

The phone. Builders are made for screens at a desk. People in a warehouse, on a site or in a truck need something else: big buttons, a photo from the camera, working with poor signal.

Appsmith

Appsmith is the closest to Retool in how you work: queries on your database or API, components on a canvas, JavaScript where needed. The Community edition is open source and free to host yourself. The cloud Business plan costs 15 dollars per user per month for up to 99 users, so for 27 people that is about 4,860 dollars a year.

If price is your only reason to leave Retool and you can run a server, Appsmith Community is the shortest move.

Budibase

Budibase leans more towards forms, approvals and a built-in database. That suits teams that have no database yet and want to replace a spreadsheet. The open source version is free to host yourself, limited to one workspace. In the cloud, Premium costs 49 dollars a month with one creator, 50 dollars per extra creator and 5 dollars per end user, on yearly billing. For 2 creators and 25 users that comes to about 2,688 dollars a year.

ToolJet

ToolJet also has a free Community edition to host yourself. Its cloud plans are priced per builder, from 23 dollars a month, and each plan caps the number of end users. For a few builders and a limited group of users that is affordable. For a large team you end up on a higher plan or Enterprise.

What a year costs by team size

The yearly price in the cloud, for a few builders and a growing group of people who only use the tool. List prices on yearly billing, excluding VAT. Retool is priced in euros, the others in dollars.

The self-hosted Community editions of Appsmith and ToolJet and the open source Budibase cost no licence at all, but someone has to run the server. For the trade-off between a builder and your own web application, read the questions further down.

A custom web app: when the tool is the work

At some point an internal tool stops being a tool. It becomes where your team plans, approves, reports and invoices. Then the question changes from which builder is cheapest to which application fits how we work.

For a Belgian transport company we built a platform that started where many teams would reach for a builder: a planning board, the fleet, fuel. It grew into an application with driver self-service on the phone in Dutch, English and Turkish, sign-in with a name tile and four digits, five office queues, an employee file that warns before documents expire, payroll, costs and a bundle for the accountant. No builder plan would have carried that, and no driver needs a licence. The story is in the DA Logistics case.

A custom app does cost more up front. You pay a build price instead of a monthly fee, and you need a partner who maintains it. What you get back: no cost per user, screens that follow your process, code that belongs to you, and a phone app without an app store as a PWA.

What we often build instead of a Retool app

Moving from Retool to your own app

  1. List what runs in RetoolEvery app, who uses it, how often, and which queries and APIs it calls.
  2. Separate the core from the restSome apps stay fine in a builder. The ones that carry daily work move first.
  3. Keep the data where it isYour database and APIs stay. The new app talks to the same sources, so there is no big migration day.
  4. Switch one team at a timeOne team works in the new app while the Retool app stays available, until nobody opens it any more.

Builder or build: the questions that decide

How many people use it every day? Under ten, a builder is almost always cheaper. Above fifty, the licence per user starts to weigh more than a build.

Do they sit at a desk? If the users are in the field, on a shared phone or without a work email, a builder pinches fast.

Does the process fit tables and forms? Lists, filters and edit screens fit a builder well. A planning board, a scan flow or a screen per customer type does not.

Who maintains it? A builder can be changed by someone on your team who knows it. A custom app needs a developer, but does not depend on a vendor's roadmap.

The general trade-off is in build vs buy software. Estimate what your tool would cost with the software development cost calculator, and read how custom work is priced in the guide on custom software development cost. We build internal tools as a web application.

Questions about Retool alternatives

Is there a free open source alternative to Retool?

Yes. Appsmith, Budibase and ToolJet each have a free edition you can host yourself. You pay for the server and your own time to run it.

Which Retool alternative can I self-host?

Appsmith Community, Budibase open source and ToolJet Community all run on your own server. A custom web app runs wherever you choose.

When is a custom app cheaper than Retool?

When many people use the tool every day. The licence per user grows with every hire, the build price does not.

Can we keep our Retool apps while we build?

Yes. The new app uses the same database and APIs, so both run side by side until the team has switched.

Can AI build our internal tools instead?

AI writes code faster, but someone still has to design the process, check the result and maintain it. More on that under vibe coding in the glossary.

Custom software

When the internal tool becomes the work itself

We look at what your Retool apps do today, who uses them and where they pinch. If a builder is still the right answer, we say so. If the tool has outgrown it, we build it as a web application that belongs to you, with the same data and no licence per user. After a first conversation you get a fixed price.

  • No licence per user or per builder
  • Works on the phone, also without a work email
  • Your code and your data, on your own server if you want

How we approach it is on our page about Custom software.
